What are QuickTools?

QuickTools are toolbar options that help staff complete common tasks quickly from different areas of iClassPro. The QuickTools available to each staff member depend on their individual Staff permissions and the page they are viewing.

Overview

QuickTools are icons that appear in the toolbar at the bottom of the iClassPro Office Portal window. Staff can use these icons to access tools related to the page they are viewing, such as sending communications, assigning keywords, generating reports, or completing batch updates.

The specific QuickTools available may vary depending on:

  • The Staff permissions assigned to the logged-in user
  • The page being viewed
  • Whether one or more records are selected from the results list
  • The filters applied to the page, such as the Enrollment Status filter on the ENROLLMENTS page

NOTE: Some QuickTools are available from all pages, while others only appear on specific pages, such as FAMILIES, STUDENTS, CLASSES, APPOINTMENTS, CAMPS, ENROLLMENTS, PARTIES, or STAFF.

Accessing the Feature

  1. Log in to the iClassPro Office Portal.
  2. Go to the page where you want to perform the action, such as FAMILIES, STUDENTS, CLASSES, APPOINTMENTS, CAMPS, ENROLLMENTS, PARTIES, or STAFF.
  3. Select one or more results from the page’s results list, if required.
  4. Review the toolbar at the bottom of the Office Portal window.
  5. Select the appropriate QuickTool icon.

NOTE: Some QuickTools are always available for staff with the appropriate permissions. Other QuickTools only appear after records are selected from the results list.

Step-By-Step Instructions

QuickTools available from all pages

These QuickTools are always available for staff with the appropriate permissions.

  • Background Tasks - Displays results of specific activities performed by the staff member (such as generating reports, running tuition charges/payments, or sending Email Blasts).
  • Scheduled Emails - allows you to view and manage Email Blasts that are scheduled to be sent at a later date/time.
  • Messenger Center - designed to centralize all two-way SMS communication within the System. Staff members can monitor incoming messages, respond directly, and track the status of each conversation to ensure timely follow-up and proper documentation.
  • Online Activity - Displays a list of notifications of activity from the Customer Portal.
    • NOTE: Launching this icon from the WELCOME page will expand the embedded Online Activity window. Launching from any other page will launch a separate Online Activity window.

Troubleshooting & FAQs

  • Why do I not see a specific QuickTool?
    • QuickTools vary based on individual Staff permissions and the page you are viewing. If a QuickTool does not appear, confirm that the correct page is open, the required results are selected, and the staff member has permission to access the related feature.
  • Do I need to select records before QuickTools appear?
    • In many cases, yes. Page-specific QuickTools generally appear after selecting one or more results from the applicable results list, such as the Family, Student, Class, Appointment, Camp, Enrollment, Party, or Staff results list.
  • Are the same QuickTools available on every page?
    • No. Some QuickTools are available from all pages, such as Background Tasks, Scheduled Emails, and Online Activity. Other QuickTools only appear on specific pages.
  • Why does Online Activity behave differently from the WELCOME page?
    • Launching Online Activity from the WELCOME page expands the embedded Online Activity window. Launching Online Activity from any other page opens a separate Online Activity window.
  • Why do I not see “Delete selected waitlist enrollments” on the ENROLLMENTS page at all times?
    • This option only appears when “Waitlist” is selected from the Enrollment Status filter.
  • Can I use QuickTools to send Push notifications?
    • Yes. Push Notification QuickTools are available from several pages for staff with the appropriate permissions. Push notifications can be sent to customers who have the mobile/branded app installed on their device.
