The APPOINTMENTS page allows you to create appointments, appointment timeslots, and manage bookings within iClassPro. It also provides filtering and action tools to help manage communication, attendance, and scheduling tasks efficiently.
Overview
The APPOINTMENTS page allows you to create appointments, appointment timeslots, and manage bookings. It also allows you to filter appointment timeslots for various tasks, such as Email Blasts, SMS/Text messaging, or Push notifications.
From this page, you can:
- View and manage appointment timeslots
- Book, reschedule, or cancel appointments
- Send reminders and communications
- Record attendance and skill evaluations
- Access QuickTools for bulk updates
The page is designed to centralize all appointment-related workflows in one location.
Accessing the Feature
From the main navigation menu, select the “Appointments” icon at the top of the screen.
Step-by-Step Instructions
Understanding Displayed Information
For each appointment timeslot, the following information is displayed:
- Name
- Service
- Zone
- Availability
- Instructor
- Students
Additional details:
- Selecting the information icon ("?") next to a student name opens a window with:
- Basic family contact information
- Links to Family and Student details
- Selecting a column header will sort the data
- By default, timeslots are sorted alphabetically by name
Using Filters
Filters can be used to:
- Narrow down appointment timeslots
- Target specific groups for communication
- Organize scheduling workflows

Performing Actions on Appointment Timeslots
Each appointment timeslot includes Action icons on the left side.
Always Available Actions

Edit (Pencil icon)
- Modify appointment timeslot details

Book Appointment
- Opens the "Book Appointment" screen to create a booking
Actions Available When Bookings Exist

Cancel Booking
- Cancel one or more student bookings

Reschedule Booking
- Move bookings to a different timeslot

- Send reminders via:

Take Attendance
- View, edit, or record attendance

- View, edit, or record skill evaluations
Managing Action Visibility
By default, only the following actions are visible:
- Edit
- Book Appointment
Other actions are located under the “Actions” menu. Enable the “Pinned” option to keep selected actions visible at all times.

QuickTools allow you to:
- Perform bulk updates
- Modify appointment timeslot details efficiently

Why do I only see limited action icons?
- Only Edit and Book Appointment are visible by default. Additional actions are available under the Actions menu unless pinned.

How do I send appointment reminders?
- Use the Remind Appointment action and select Email and/or SMS. Ensure your email template is configured under Communication Templates.

Why can I not reschedule or cancel a booking?
- These options are only available when a timeslot has existing bookings.
- If the timeslot has existing bookings and you are still unable to reschedule or cancel a booking, ask your system administrator to review your staff permissions.
