Overview
Email Blasts sent from the CLASSES page provide additional controls that allow administrators to define exactly which enrollments should receive a message. These controls include enrollment date ranges, enrollment statuses, enrollment types, and whether pending requests should be included.
This option is particularly useful when sending announcements or reminders related to a specific class, schedule change, or enrollment group, as it ensures the message is delivered only to the intended recipients.
Accessing the Feature
- From the main navigation menu, go to Classes.
- Locate and select one or more classes you want to email.
- Select the Email Blast icon in the toolbar at the bottom of the page.
If no subscribed family records are associated with the selected records, the System displays a message indicating that no eligible email recipients were found.
Step-by-Step Instructions
Define Enrollment Date Criteria
Use these options to control which enrollments are evaluated for inclusion in the Email Blast.

Start Date / End Date
- Specifies the date range of enrollments to consider.

Enrollments to Search for in Date Range

Enrollments Active During
- Includes enrollments that were active at any point during the selected date range, regardless of their start or end dates.

Enrollments Starting In
- Includes enrollments that started during the selected date range, regardless of their end date.

- Includes enrollments that dropped during the selected date range, regardless of their start date.

Select Enrollment Types
Choose which enrollment types should receive the Email Blast.

- Sends to all enrollment types that meet the selected criteria.

Send to Requests
Control whether unapproved or pending enrollment requests are included.

Exclude Requests
- Does not include unapproved or pending requests.

- Includes unapproved or pending requests along with approved enrollments.

- Sends only to unapproved or pending enrollment requests.
Send Emails By
Determine how many emails are sent per household.

One per enrollment
- Sends one email for each qualifying enrollment. Families with multiple enrollments may receive multiple emails.

One per student
- Sends one email per student. Families with multiple students may receive multiple emails.

One per family
- Sends only one email per family, even if multiple enrollments qualify.
Send Emails To
Choose who should receive the Email Blast.

Families Only
- Sends emails to families of students enrolled in the selected classes.

Instructors Only
- Sends emails only to instructors assigned to the selected classes.

- Sends emails to both families and instructors.
Additional Email Options

Send a copy to all email addresses in the staff or enrollment family records
- Sends a copy to every opted-in email address associated with qualifying staff or family records.

Send a copy to me
- Sends a copy to the email address listed in the Reply-To Address field.

Reply-To Address
- Specifies the email address used when recipients reply. This is automatically populated with the Location email address but can be edited.

Email Template (optional)
- Selecting a predefined Email Template automatically fills in the Subject and Email Body.

Subject
- Enter a subject line for the email.

Email Body
- Enter the message content.
Using Email Variables
- Select Variables to insert available email variables into the message.
- Variables display using a friendly name rather than the variable code.
- Available variables depend on where the Email Blast is initiated.
- Manually entered variables automatically convert to the friendly name after pressing the space bar.
- Invalid variables are replaced with an empty text string.
- Custom Fields can be inserted from the [Page] Custom Fields submenu within Variables.
Optional Enhancements
- Images can be added to enhance the email message.
After reviewing all settings and content, select Send.
Sending Email Blasts from the Class Enrollments View
iClassPro also offers an option to email students of all enrollment types directly from the CLASSES page. Which students are displayed is determined by the “Enrollment Date” + your "Enrollment Lookahead" window.
Clicking the "actions" icon to the left next to the student will give you the option to "Email Family."
Selecting this option launches an Email Blast window with that student’s family preselected.
Additional Notes
- This option only allows you to send to one student at a time.
- Email Blasts still honor opt-in/opt-out settings.

Why do I see a message saying no subscribed family emails were found?
- None of the selected enrollments have family records that are opted in to receive Email Blasts. Verify email opt-in settings and enrollment filters.

Why did some families receive multiple copies of the same email?
- The Send Emails By option may be set to One per enrollment or One per student.

Are opt-in and opt-out preferences respected?
- Yes. All Email Blasts honor family and staff email subscription settings.
