What is Pro Insights?

Pro Insights is iClassPro’s embedded analytics tool, designed to expand on the data available in standard reports. It uses historical enrollment, attendance, and financial data to help administrators identify trends related to occupancy, students, families, revenue, retention, and skill progression.

Overview

Pro Insights is a collection of embedded analytics intended to enhance the information already available from iClassPro’s built-in reports. Rather than focusing on single data points, Pro Insights aggregates and analyzes historical data to provide broader insights into enrollment patterns, spending behavior, retention, and progression over time.

These analytics are designed to help administrators:

  • Monitor business performance at a glance.
  • Identify trends that may require operational or instructional adjustments.
  • Make data-informed decisions using visualized metrics instead of raw reports.

Deleting source data will affect the accuracy of results.

Accessing the Feature

If your account is configured to provide Pro Insights analytics, it appears as a separate option on your landing page.

To access Pro Insights:

  1. Log in to the Office Portal.
  2. From the landing page (Welcome or Dashboard), select “Pro Insights.”

If you do not see “Pro Insights”, your account may not currently have access to this feature.

    • Attendance % - calculated as Attendances / Possible Attendances
    • Avg, Attendances - the average number of “present” attendances a student generally has in the Class Level before moving up or exiting the program.
      • NOTE: This value is used to determine "Below Average/Average/Above Average" status in the "Active Students Attendances in Current Level - Categorized" chart

Quarterly Performance

The 4 KPI cards at the top of the “Quarterly Review” tab reflect the aggregate value across all sites the account has access to. 

The reports at the bottom (i.e., the line chart and the table) show these values broken down per site for easy comparison.

Metrics

  • Student Growth - percent change of active students from one quarter to the other. (NOTE: includes only ACTIVE or ONE DAY enrollments within the same quarter, and each student is only counted once.)
  • Enrollment Growth - percentage change of active enrollments from one quarter to the other. (NOTE: includes only ACTIVE or ONE DAY enrollments within the same quarter. Each enrollment is counted separately, so students with multiple enrollments will count once for each enrollment.)
  • Revenue Growth - percentage change of payments received from one quarter to another.
  • Revenue Per Student Growth - percentage change in revenue per student from one quarter to another.

Notes

  • The system is limited to pulling the past three years (36 months) worth of metrics for comparison (based on the current quarter).
  • Selecting a particular “Report Metric” will update the line graph and accompanying table data to match.

Troubleshooting & FAQs

  • Why do I not see Pro Insights on my Welcome or Dashboard page?
    • Pro Insights only appears if your account is configured to include this feature. If it is not visible, your account may not currently have access to Pro Insights.
  • Why does data in Pro Insights look different from standard reports?
    • Pro Insights uses aggregated historical data and specific calculation rules that may differ from individual reports. In some cases, metrics also exclude records until certain conditions are met, such as students or families being exited for at least 90 days.
  • Why are some students or families not included in certain analytics?
    • Some Pro Insights metrics only include records after a student or family has been exited for a minimum period of time. Active records or recently exited records may not yet qualify for inclusion.
  • Why did Pro Insights data change after records were deleted or updated?
    • Pro Insights relies on source data within the System. Deleting or modifying enrollments, financial records, or skill evaluations can affect how analytics are calculated and displayed.
