Reports for locating first enrollments
iClassPro provides several reports with options to locate students based on their "First Enrollment" status. These include:
-
First Enrollments Report (CLA-20)
- Provides a list of all first enrollments within a specified date range. The report includes the Location, Student, Guardian, Enrollment Type, Class, Level, Schedule, Instructor(s), Start Date, Drop Date, Primary Email, and Primary Phone.
-
Roll Sheets (CLA-4)
- If "Show New Enrollment Icon In Reports" is enabled under SETTINGS>SETUP>STUDENT SETTINGS>STUDENT OPTIONS, an indicator will be displayed for any students meeting selected "First Enrollment" criteria.
-
Instructor Roster Report (STA-8)
- If "Show New Enrollment Icon In Reports" is enabled under SETTINGS>SETUP>STUDENT SETTINGS>STUDENT OPTIONS, an indicator will be displayed for any students meeting selected "First Enrollment" criteria.
-
Class/Camp Roster Report (STA-9)
- If "Show New Enrollment Icon In Reports" is enabled under SETTINGS>SETUP>STUDENT SETTINGS>STUDENT OPTIONS, an indicator will be displayed for any students meeting selected "First Enrollment" criteria.
Filtering the ENROLLMENTS Page by "First Enrollment" type
From the ENROLLMENTS Page, staff can use the "All First Days" filter to limit the results to only enrollments meeting the selected “First Enrollment” type(s) (based on their enrollment on the specified "Enrollment Between" date range).
- First Day Ever - limits results only to enrollments for students for which no previous enrollment history exists in the database, or who have never been marked "Present" for a class. (This means that if they have a past enrollment but were only marked "Absent", they will continue to show "First Time Ever" until an attendance record is created where they are marked "Present.")
- First Day In Class - limits results only to enrollments for students for which no previous enrollments exist in the database connected with this specific class (based on the internal Class ID).
- First Day At Location - limits results only to enrollments for students for which no previous enrollments exist in the database connected with the selected Location.
- First Day In Level - limits results only to enrollments for students for which no previous enrollments exist in the database connected with the selected Class Level.
Sending mass communications
After filtering the ENROLLMENTS page, you can select the enrollments to which you wish to send a mass communication. This can be done by selecting them one at a time or by using the "Select All" option at the top of the screen.
Once you have selected the enrollments, launch the appropriate mass communication tool from the toolbar at the bottom of the screen to create and send your communication. You can compose your message directly into the communication window or select from a list of custom email templates that you have created.
See the documents below for instructions:

If you commonly use the same filters to locate students for communication, you can save them as Presets! Whenever you open the ENROLLMENTS page to contact these students, click the "Smart Filters" menu and select your preset. Then, set your date range and the system will take care of the rest. See our “How Do I Create and Use Smart/Preset Filters?” document for more information.
