The Point of Sale: Inventory on Hand Report (FIN-20) helps administrators review product inventory totals for a selected date range. The System calculates inventory on hand by starting with the quantity available as of the selected start date, then applying any adjustments through the selected end date.

Key Report Details

The report includes inventory, cost, sales, tax, and profit details for products that match the selected filters. Report results may include the following fields:

  • Product: The product name associated with the inventory item
  • Location: The Location associated with the inventory item
  • Variation: The product variation included in the report results
  • SKU: The stock keeping unit assigned to the product or variation
  • Vendor: The Vendor associated with the product
  • Stock On Hand: The quantity of the product currently available based on the selected date range
  • Cost Per Item: The cost assigned to each item
  • Total Cost For Stock On Hand: The total cost based on the item cost and stock on hand
  • Selling Price Per Item: The selling price assigned to each item
  • Tax Rate: The tax rate assigned to the product
  • Profit Margin Per Item: The estimated profit margin for each item
  • Estimated Profits: The estimated profit based on the amount of stock on hand

Understanding inventory totals

The report uses the selected Start Date and End Date to determine inventory on hand. The System begins with the product quantity on hand as of the Start Date, then includes inventory adjustments through the End Date to calculate the final total.

Using Preset Filters

If you commonly use the same filters when running this report, you can save them as Presets. Load a Preset Filter when you open the report page, set your date range, and generate the report in the preferred format.

Accessing the Report

  1. From the main navigation menu, go to Reports.
  2. Locate the Point of Sale: Inventory on Hand Report (FIN-20).
  3. Select the report to open the report filters.

Step-by-Step Instructions

General Filters

Date Range

  • Start Date: The System uses the quantity of each product on hand as of this date.
  • End Date: The System includes adjustments through this date to calculate the total stock on hand.

Product Categories

  • Category: Limits the report results to the selected Product Categories.
  • Vendor: Limits the report results to the selected Vendors.

  • Locations: Limits the report results to inventory associated with the selected Location or Locations.

Display Options

Show

  • Hidden Variations: Shows all items, even if the Visibility option for the product is disabled.
  • Disabled Inventory: Shows items even if Inventory Tracking is not enabled for the product.
    • These items will not include a stock on hand count.
    • These items will not include calculations that depend on inventory totals, such as total cost for stock on hand or estimated profits.
  • Inventory Log Details: Displays historical adjustments within the selected date range for each product that has Inventory Tracking enabled.

A note about inventory-related options

  • Use Inventory Log Details when you need to review historical changes that affected product inventory within the selected date range. This option only displays adjustment details for products that have Inventory Tracking enabled.
  • Use Show Disabled Inventory when you need to include products that do not currently have Inventory Tracking enabled. Since the System does not track stock counts for these items, the report will not calculate stock on hand or inventory-based totals for those products.

  • Landscape: Generates the report in Landscape mode instead of Portrait mode.

Generating the Report

  • Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report.
  • The System will immediately generate the report in the selected format.

Troubleshooting & FAQs

  • Why do some products not show a stock on hand count?
    • Products shown through Show Disabled Inventory may not have Inventory Tracking enabled. These products will not include a stock on hand count or calculations based on inventory totals.
  • Why are hidden product variations appearing in the report?
    • The Include Hidden Variations option shows all items, even if the Visibility option for the product is disabled.
  • How does the System calculate inventory on hand?
    • The System starts with the quantity on hand as of the Start Date, then includes adjustments through the End Date to calculate the total stock on hand.
  • When should I enable Inventory Log Details?
    • Enable Inventory Log Details when you need to review historical adjustments within the selected date range for products with Inventory Tracking enabled.
