What is a Preset Filter?
If you commonly use the same filters when running reports, you can save them as a Preset Filter. Preset Filters are saved without a specific date range, so re-running a common report is as simple as:
- Loading an existing Preset Filter
- Setting your date range, and
- Generating the report in your preferred format
This feature is currently only available for certain reports.
Creating a Preset Filter
- After setting your common report filters, click SAVE AS NEW PRESET. This will launch the "Create Preset" window:
- Enter a unique PRESET NAME to identify your filters.
- Select who can see the PRESET. Clicking “Let Me Choose” will bring up options to select specific staff members or Staff Usergroups:
- Click SAVE PRESET once you are finished.
- To use the Preset in the future, select it from the “Preset” drop-down menu.
Selecting a Preset Filter
- After launching the Report filters screen, click on the PRESET drop-down menu and select the Preset filter you wish to use.
- Your previously saved filters will be loaded.
- Set the the DATE SEARCH filters for your new report.
- Generate the report in whichever format works best for you.
Editing a Preset Filter
- After launching the Report filters screen, click on the PRESET drop-down menu and select the Preset filter you wish to use.
- Your previously saved filters will load.
- Update the filters as desired.
- Click the UPDATE PRESET button to overwrite the original filters.
Managing Preset Filters
- After launching the Report filters screen, click on the MANAGE PRESETS link in the top right-hand corner of the "Choose or Create Preset" section.
- This will load the MANAGE PRESETS window.
- Use the icons to the right of the right of the filter you wish to edit to make any changes:
- The Pencil/Edit icon will allow you to rename the filter or change who has access to the filter.
- The Trash/Garbage icon will delete the Preset filter completely.
- The Four-Headed Arrow icon will allow you to re-order the filters on the list.
- After making any edits, be sure to Save your changes.
Other Notes
- Presets are saved Per-User and Per-Report (since filters differ between reports).
- Preset filters DO NOT save specified dates or date ranges. These will always load the default date(s) whenever the filter is selected.
- You can rename, delete, or organize saved PRESETS clicking on “Manage Presets” and selecting the appropriate option next to the PRESET on the list.
