Overview
The Party Booking Management system provides a structured way to create and manage party offerings within iClassPro. It allows businesses to define available booking times, customize party experiences, and offer optional add-ons to increase revenue.
Once configured, available party time slots appear on the PARTIES page and can be made accessible to customers through the Customer Portal.
This system also includes tools for automation, such as follow-up communications after a party has occurred.
Accessing the Feature
- From the main navigation menu, select PARTIES.
- Review the setup checklist displayed on the page.
- The PARTIES page includes a checklist to guide initial setup.
- As setup tasks are completed, the checklist updates to reflect progress.
- Once setup is complete, available party time slots display on this page.
Step-by-Step Instructions
Configure Party Settings
- From the main navigation menu, go to SETTINGS.
- Select PARTIES.
Within SETTINGS > PARTIES, configure the following sections:
- Time Slots - Define available party times for each station
- Stations - Create and manage unique party spaces within your facility
- Packages - Define the party experience being offered to customers

- Create optional items that can be attached to packages
- Used to enhance or upsell the party experience

- Control how party income is tracked within the System
- Determines how data appears on financial reports

- Completing all settings is required before party bookings can be made available

Reordering Packages and Add-ons
- Expand the menu within SETTINGS > PARTIES
- Select the "Actions" button
- Adjust the order of packages and add-ons
- This determines how options appear on the Customer Portal
Important Note: Use the "Actions" button to control the display order of packages and add-ons on the portal.
Parties on the Customer Portal
Customers can view and book parties directly through the Customer Portal once the feature is enabled.
- Parties are accessed through the BOOKING section of the Customer Portal
- Available parties display if they are:
- Not already booked
- Not disabled
Enable Party Booking on the Customer Portal
- Go to SETTINGS.
- Select CUSTOMER PORTAL.
- Navigate to OTHER SETTINGS.
- Select GENERAL SETTINGS.
- Enable "Show Parties and Allow Parents to Register for Them".
Once enabled:
- Available party time slots appear online
- Customers can select dates, times, packages, and options during booking
Party Follow-Up Autopilot Workflow
iClassPro includes an Autopilot workflow designed to automate post-party communication.
- Sends follow-up messages after a party occurs
- Delivery methods include:
- SMS
- Push notifications
- Messages are sent a specified number of days after the event
Workflow Purpose
- Improve customer engagement
- Encourage repeat bookings
- Collect feedback or promote additional services

Why are no party time slots showing on the PARTIES page?
- Ensure all required settings under SETTINGS > PARTIES are completed. Time slots will not display until setup is finished.

- Confirm that "Show Parties and Allow Parents to Register for Them" is enabled under SETTINGS > CUSTOMER PORTAL > OTHER SETTINGS > GENERAL SETTINGS.
