IN BRIEF
The Party Booking Management system allows businesses on eligible plans to create, manage, and control party bookings within iClassPro. After the Feature is activated, administrators can grant staff members access by configuring page- and task-level permissions through user groups or individual staff profiles.
Overview
The Party Booking Management system is designed to help businesses manage party offerings, availability, and bookings directly within iClassPro. Access to this Feature is controlled at both the account level and the staff permission level, ensuring only authorized users can view, create, or manage party bookings.
This Feature is only available on specific subscription plans and must be activated before staff permissions can be assigned.
Accessing the Feature
Before staff members can manage party bookings, the Party Booking Management system must be enabled on the account.
- Available with iClassPro Elite and Premium subscription plans.
- Activation is handled by the iClassPro Support team.
To request activation:
- Contact iClassPro Support using the Support Request form.
- Include your account name in the request to avoid delays.
Once the Feature is activated, administrators can begin assigning staff access.
Step-by-Step Instructions
Allowing Staff to Manage Party Bookings
After activation, access to party bookings is controlled through staff permissions. These permissions can be assigned either:
- Directly to an individual staff member, or
- To an entire user group.
Assigning Permissions to an Individual Staff Member
Use this method when a staff member needs permissions beyond what their assigned user group provides.
- Navigate to the staff member’s profile.
- Locate the permissions section.
- Adjust party-related permissions as needed, in addition to any permissions inherited from their user group.
- Save the changes.
Assigning Permissions to a User Group
Use this method when multiple staff members require the same level of access.
- Navigate to SETTINGS > SETUP > STAFF SETTINGS > USER GROUPS.
- Select the user group you want to edit.
- Update the party-related permissions.
- Save the changes.
Understanding Party Permissions
Party access is controlled using two permission types: Page Access and Task Access.
Page Access
Page access controls whether a staff member can see the Parties area and related settings.
-
Parties (Page):
- Required to access the PARTIES page in the main navigation.
- Full permission is required to access party settings and party options.
-
Settings (Page):
- Required to configure or update party packages, timeslots, and other party-related details.
- Full permission is required to make changes.
Task Access
Task access controls what actions a staff member can perform within the Parties page.
-
Viewing and Creating Party Bookings:
- View permission on the Parties task allows staff to view party bookings.
- Full permission on the Parties task allows staff to create or edit party bookings and enable or disable individual party timeslots.
-
Deleting Party Bookings:
- Full permission on the Delete Parties task is required to delete existing party bookings.
Important Staff Permission Notes
- Staff members with Admin Access (Full Permissions) automatically have access to all party-related pages and tasks.
- Permissions granted at the user group level apply to all staff assigned to that group unless overridden at the individual staff profile level.
Troubleshooting & FAQs
-
Why does a staff member not see the PARTIES page?
- Verify the staff member has full permission to the “Parties” page. Without page access, the Parties section will not appear in navigation.
-
A staff member can see party bookings but cannot create or edit them. Why?
- The staff member likely has “View” permissions for the “Parties” task. Creating or editing bookings requires “Full” permissions.
-
Why can a staff member edit bookings but not delete them?
- Deleting party bookings requires “Full” permission to the “Delete Parties” task, which is separate from the general Parties task.
-
Do I need to assign permissions individually if a staff member is an admin?
- No. Staff members with Admin Access (Full Permissions) automatically have access to all party-related pages and tasks.
