What is the Makeups Report (STU-14)?

The Makeups Report (STU-14) shows students with recorded absences, makeup enrollments, or Makeup Token activity within a selected date range. This report helps administrators review class absences, tokens created, tokens used for makeup enrollments, makeup enrollments not associated with tokens, and expired tokens. 

Overview

The Makeups Report (STU-14) generates a list of students who had one or more of the following within the selected date range:

  • A recorded absence
  • A makeup enrollment
  • Makeup Tokens created
  • Makeup Tokens used
  • Makeup Tokens expired

The report includes the following details:

  • Student Name: The student associated with the absence, makeup enrollment, or Makeup Token activity.
  • Family Name: The family connected to the student.
  • Class Absences: The number of class absences recorded for the student within the selected date range.
  • Tokens created: The number of Makeup Tokens created for the student within the selected date range.
  • Makeups w/ Tokens: The number of makeup enrollments for the student that used a Makeup Token within the selected date range.
  • Makeups w/o Tokens: The number of makeup enrollments for the student that did not use a Makeup Token within the selected date range.
  • Expired Tokens: The number of Makeup Tokens that expired within the selected date range.

Using Preset Filters

If you commonly use the same filters when running this report, you can save those selections as Preset Filters. After saving a Preset Filter, you can load it when opening the report page, set your date range, and generate the report in your preferred format.

Accessing the Report

  1. From the main navigation menu, go to Reports.
  2. Locate the Makeups Report (STU-14).
  3. Select the report to open the report filters.

  1. Navigate to the Makeups Report (STU-14).
  2. Set the Start Date and End Date for the report.
  3. Select one or more Locations.
  4. Select one or more Programs, if needed.
  5. Choose the preferred report format:.
  6. Generate the report.

Reviewing Report Results

Use the generated report to review makeup-related activity for each student, including recorded absences, Makeup Tokens created during the selected date range, Makeup Tokens used for makeup enrollments, makeup enrollments that did not use a Makeup Token, and Makeup Tokens that expired during the selected date range.

Available Filters

  • Start Date/End Date: Use Start Date and End Date to define the date range for the report results.
    • The System defaults both filters to the current date.
    • The report uses this date range to identify qualifying absence, makeup enrollment, and Makeup Token activity.
  • Locations: Use Locations to limit the report to students who have an enrollment at the selected Location or Locations on the date the report is run and who also have absence or Makeup Token activity within the selected report date range.
    • At least one Location should be selected before generating the report.
    • The student may have an enrollment at the selected Location on the date the report is run, even if the student was inactive during the selected report date range.
    • The student may have been active at a different Location during the selected report date range.
    • The absence or Makeup Token activity may have occurred at a different Location than the selected Location.
  • Choose Program: Use Choose Program to limit the results based on specific Program or Programs.
    • When one or more Programs are selected, the report includes students with available Makeup Tokens that can be applied to classes associated with the selected Program or Programs.
    • When one or more Programs are selected, the report also includes students who previously booked a makeup enrollment in a class associated with the selected Program or Programs.
    • Leaving this option blank shows results for all Programs.

Generating the Report

  • Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report window.
  • The System will immediately generate the report in the selected format.

Troubleshooting & FAQs

  • Why does the report include a student who was inactive during the selected date range?
    • The Locations filter checks whether the student has an enrollment at the selected Location on the date the report is run. Because of this, a student may appear in the report even if they were inactive during the selected date range or active at a different Location during that time.
  • Why does the report show activity from a different Location than the one selected?
    • The Locations filter limits the report to students with an enrollment at the selected Location on the date the report is run. The absence or Makeup Token activity itself may have occurred at a different Location.
  • What happens if I leave Choose Program blank?
    • Leaving Choose Program blank shows results for all Programs.
  • What does Makeups w/ Tokens mean?
    • Makeups w/ Tokens shows the number of makeup enrollments for the student that used a Makeup Token within the selected date range.
  • What does Makeups w/o Tokens mean?
    • Makeups w/o Tokens shows the number of makeup enrollments for the student that did not use a Makeup Token within the selected date range.
