Which Reports Include Makeup Token Information?

Understanding which report to use helps ensure accurate tracking and reporting of Makeup Tokens.

Overview

iClassPro provides multiple reports that include Makeup Token information. Each report presents this data differently, depending on the reporting goal:

  • Viewing current token balances for students
  • Identifying whether enrollments used tokens
  • Reviewing token activity (created, used, expired) within a date range

To generate these reports, Staff members must have the appropriate permissions assigned to their Staff User Group or as an individual Advanced Permission.

Accessing the Reports

  1. From the main navigation menu, go to Reports.
  2. Navigate to the appropriate report category:
    • Students
    • Classes
  3. Select the desired report:
    • Student List Report (STU-1)
    • Special Enrollments Report (CLA-8)

Student List Report (STU-1)

Location:Reports > Students > STU-1

Use this report to view the current number of available Makeup Tokens for each student.

  1. Navigate to the Student List Report (STU-1).
  2. Locate the “Display Filters” section.
  3. Select “Show Number Of Makeup Tokens.”
  4. Run the report.

What to expect:

  • Displays the number of available Makeup Tokens for each student
  • Reflects token balance as of the date the report is run

Use this report to identify whether enrollments were created using Makeup Tokens.

  1. Navigate to the Special Enrollments Report (CLA-8).
  2. Apply any necessary filters.

  • Includes a column indicating whether a Makeup enrollment used a Makeup Token

Makeups Report (STU-14)

Location:Reports > Students > STU-14

Use this report for detailed tracking of Makeup Token activity within a selected date range.

  2. Select the desired date range.
  3. Apply any additional filters.

What to expect:

  • Student Name
  • Family Name
  • Class Absences (within the selected date range)
  • Tokens created (within the selected date range)
  • Makeups w/ Tokens (number of Makeup enrollments using tokens)
  • Makeups w/o Tokens (number of Makeup enrollments not using tokens)
  • Expired Tokens (tokens that expired within the selected date range)

  • Q: Why do I not see Makeup Token data in a report?
    • Confirm that the correct columns or report type is selected. Some reports require enabling specific fields (such as “Show # Of Makeup Tokens” in STU-1).
  • Why are token counts different between reports?
    • Each report serves a different purpose. STU-1 shows current balances, while STU-14 reflects activity within a date range.
  • I cannot access these reports—what should I do?
    • Verify that your Staff User Group includes the necessary report permissions or that you have the required Advanced Permissions assigned.
  • What is the difference between “Makeups w/ Tokens” and “Makeups w/o Tokens”?
