The "Apply Token" option will be disabled for any Makeup Tokens associated with a deleted Program. Affected Makeup Tokens must be reassigned to a new Program before they can be used. The name of the deleted Program associated with the Token will be displayed, but will be italicized and subdued.
When applying a Makeup Token during the enrollment process, the system will not display any Makeup Tokens associated with a deleted Program. Affected Makeup Tokens must be reassigned to a new Program before they can be used.
How can I tell if a student has an available Makeup Token?
When viewing Makeup Tokens from the Student Profile, there are four different areas:
- Available Tokens – Tokens that can be used. (This area is expanded by default.)
- Pending Tokens – Tokens already attached to future makeup enrollments.
- Expended Tokens – Tokens attached to makeup enrollments that have already occurred.
- Expired Tokens – Tokens that have passed their expiration date but were never expended.
The system will enforce any Location restrictions on a Makeup Token by default. However, if a staff member has been granted the permission to "Create Makeup Tokens", they will be given the option to override a Location restriction and apply a Makeup Token for a makeup enrollment at a different Location.
When redeeming a makeup token via the Office Portal, the system automatically limits the date that can be selected for the makeup enrollment to no more than 90 days from the current date.
Applying/Redeeming Makeup Tokens from the STUDENTS page
- From the STUDENTS page, locate the student for whom you wish to create a makeup enrollment.
- Click the “Attendance” icon (checkmark) to the left of the student’s name to open the Attendance view.
- Click on “Makeup Tokens.”
- Available makeup tokens will be shown. To apply a token and create a matching enrollment, click the “Apply Token” button next to the token you wish to use.
- In the “Apply Token” window that comes up, locate the class for the makeup enrollment and click on the class name.
- At the bottom of the "Filters" on the left-hand side of the window, there is an option for "Has Temporary Openings."
- If "Has Temporary Openings" is enabled, an "As Of Date" field will be shown to allow staff to choose a specific date that defines WHEN the temporary openings need to exist,
- A list of available dates/times will come up. Click “Use Token” next to the appropriate class date/times.
- If "Has Temporary Openings" is enabled, the system will skip this selection and auto-populate the start/end dates to match the "As of Date."
- Click “Apply” in the confirmation window that comes up if the information is correct.
- The makeup enrollment will automatically be created with the “Makeup” enrollment type. The start and end date of the enrollment will be the same day you chose during the previous steps.
- Because tokens are not expended until class attendance is taken, the token moves to “Pending Tokens.” (Once class attendance is taken, it will move to “Expended Tokens.”)
If a Makeup Token is redeemed in for a class that meets several times throughout a given day (such as Monday from 7pm-8pm and 8pm-9pm), the makeup enrollment will actually be created for ALL of the timeslots attached to the class (due to how iClassPro handles class enrollments).
If the class has multiple meeting times on several different days (such as Monday from 7pm-8pm and Wednesday from 8pm-9pm), the student will only be enrolled for the date selected for the makeup.
Applying/Redeeming Makeup Tokens from the CALENDAR Page (stacked view):
- From the CALENDAR page, click on the class for which you wish to create the makeup enrollment.
- Click "Enroll Student."
- Search for the student by last name/first name.
- Select the student in the results by clicking the box to the left of their name and then click "Continue Enrollment."
- Choose the "Make UP" enrollment type. The Start Date and End Date will automatically fill in with the class date you have chosen from the calendar.
- An indicator will also appear showing if the student has any makeup tokens available. If you continue with the enrollment, the makeup token with the oldest creation date will automatically be applied to the enrollment. (If no tokens are available, the enrollment will be created without an associated token.)
