Which Filters Are Available for the STAFF Page?

These filters can help you find specific staff members, send targeted Email Blasts or internal messages, and review staff assignments at a glance.

Overview

The filters on the STAFF page allow you to control which staff members appear in the staff list. You can use these filters to locate staff profiles that match specific criteria, such as active status, assigned classes, assigned programs, assigned locations, staff keywords, staff user groups, admin access, or note details.

These filters can help when you need to:

  • Send Email Blasts or internal messages to a specific group of staff members
  • Review which staff members teach specific classes, programs, or locations
  • Find staff members assigned to specific staff keywords or user groups
  • Locate staff profiles with open or closed notes
  • Identify staff members with specific note priority levels

After you finish using a set of filters, clear them so the full staff list appears again.

  1. From the main navigation menu, go to STAFF.
  2. Use the available filters at the top of the STAFF page to narrow the list of staff members.

Step-by-Step Instructions

  1. Go to the STAFF page.
  2. Select one or more filters to narrow the staff list.
  3. Review the filtered staff results.
  4. Use the filtered results as needed, such as when sending Email Blasts, sending internal messages, or reviewing staff assignments.
  5. After reviewing the filtered results, select Reset Filters or press ESC on your keyboard to clear the selected filters.

Staff account status filter

Use Staff Account Status to limit results based on whether the staff member’s profile is active or inactive.

  • ALL
    • Shows all staff profiles, regardless of whether the status is marked active or inactive
  • ACTIVE
    • Shows only staff profiles where the status is marked active
  • INACTIVE
    • Shows only staff profiles where the status is marked inactive

Day of the week filter

Use Day of the week to show staff members attached as instructors to classes that meet on the selected day or days of the week.

  • Select one or more days to show staff members attached to classes that meet on those days
  • Leave the day selection blank to show all staff members

Class, program, and location filters

Use these filters to find staff members attached as instructors to specific classes, programs, or locations.

  • All Classes
    • Limits results to staff members attached as instructors to the selected class or classes
  • All Programs
    • Limits results to staff members attached as instructors to classes connected with the selected program or programs
  • All Locations
    • Limits results to staff members attached as instructors to classes at the selected location or locations

Staff keyword and user group filters

Use these filters to find staff members based on staff keywords or Staff User Groups.

  • All Keywords
    • Limits results to staff members connected with the selected staff keyword or keywords
  • All User Groups
    • Limits results to staff members assigned to the selected Staff User Group or Groups

Use Is Admin to limit results to staff members who have been granted the Admin Access (Full Permissions) option.

Use Filter By Notes to limit results based on the status of notes attached to staff profiles and the priority level of those notes.

  • Note Status
    • Filters staff profiles based on whether attached notes are open or closed
  • Note Priority
    • Filters staff profiles based on the selected note priority level

Use Note Status options to control which staff profiles appear based on the status of attached notes.

  • ALL
    • Shows all staff profiles with notes attached, regardless of whether the note status is marked open or closed
  • OPEN
    • Shows only staff profiles with notes attached where the note status is marked open
  • CLOSED
    • Shows only staff profiles with notes attached where the note status is marked closed

Use Note Priority options to control which staff profiles appear based on the priority level assigned to attached notes.

  • Low
    • Shows only staff profiles with notes attached where the priority level is marked low
  • Medium
    • Shows only staff profiles with notes attached where the priority level is marked medium
  • Critical
    • Shows only staff profiles with notes attached where the priority level is marked critical

Troubleshooting & FAQs

  • Why do I only see some staff members on the STAFF page?
    • One or more filters may still apply. Select RESET FILTERS or press the ESC key on your keyboard to clear the filters.
  • Why does a staff member not appear when I filter by class, program, or location?
    • The staff member must be attached as an instructor to a matching class, program, or location for the profile to appear in the filtered results.
  • Why does the day of the week filter not change my results?
    • The filter only applies to staff members attached as instructors to classes that meet on the selected day or days. If no day is selected, the System shows all staff members.
  • Why do note filters exclude some staff members?
    • Filter By Notes only returns staff profiles that match the selected note status or note priority. Staff members without matching notes will not appear in the filtered results.
