How Do I Review Time Adjustment Requests?

Time Adjustment Requests allow staff to correct or add time clock entries submitted through the Punch Pad or Kiosk Mode. Administrators can review, approve, or deny these requests to ensure accurate time tracking and payroll reporting.

Overview

Time Adjustment Requests provide a controlled way for employees to request corrections to their recorded time. These requests may include missed clock-ins, adjustments to existing entries, or entirely new time entries.

Staff with the appropriate permissions can review each request, view supporting details, and either approve or deny the adjustment. This ensures that time records remain accurate while maintaining administrative oversight.

There are multiple ways to review requests, including quick approvals or more detailed reviews with comments for documentation and communication.

Accessing the Feature

  1. From the main navigation menu, go to Time Clock.
  2. Select Adjustments from the left-side menu.

This page displays all submitted time adjustment requests, sorted from most recent to oldest.

Reviewing Requests

  1. Navigate to the Adjustments page.
  2. Review the default Pending view to see requests awaiting action.
  3. Select the Processed view to see previously approved or denied requests.
  4. Use available tools to refine results:
    • Search staff by name
    • Filter by location
    • Adjust the number of visible requests (default is 20)
    • Navigate between pages of results

Mass Approval and Denial Options

  • Use Approve All or Deny All to process multiple requests at once
  • These actions apply to all requests across all pages, not just filtered results
  • A confirmation dialog will appear before completing the action
  • Comments cannot be added when using these options
  • These actions cannot be easily undone, so use caution

Understanding Adjustment Types

Each request includes a reason selected by the employee. There are three types:

  • Original Clock In
    • Used when the employee forgot to clock in
  • Current Clock In
    • Used when the employee clocked in but needs to adjust the time
  • New Entry
    • Used to create a new time entry for a specific date and time
    • Also used by one-punch employees to fill gaps in their scheduled day

Quick Approval or Denial (Without Comment)

  1. Locate the request in the list.
  2. Review available details:
    • Employee photo (if available)
    • Employee name
    • Adjustment type and description
    • Any submitted comments (hover over the message icon)
  3. Select Approve or Deny next to the request.
  4. In the confirmation dialog:
    • Select Yes to confirm
    • Select No Thanks! to cancel

  1. Locate the request and select the magnifying glass icon to open detailed view.
  2. Review full request details, including timestamps and employee comments.
  3. Enter a comment explaining the decision (optional but recommended).
  4. Select Approve or Deny.
  5. Confirm the action in the dialog window.

Troubleshooting & FAQs

  • Why can I see requests but cannot approve or deny them?
    • The staff member must have “full” access to the Time Clock task to approve or deny requests. “View” access only allows visibility without action.
  • Why did “Approve All” process more requests than expected?
    • Mass actions apply to all requests across all pages, not just filtered results. Always review carefully before confirming.
  • Can I add comments when using Approve All or Deny All?
    • No. Comments are only available when approving or denying individual requests.
  • What happens after I approve or deny a request?
    • The request moves from the Pending view to the Processed view for future reference.
