What is the CLASSES Page?

What is the CLASSES page?

The “Classes” page allows you to perform many class-related functions, including:

To access the “Classes” page, click the “Classes” icon in the navigation bar at the top of the screen:

What Information is displayed on the CLASSES page?

For each Class, the following information is displayed:

  • (*) Class Name - Name of the Class
  • Occupancy
  • Instructors - Instructor(s) attached to the Class
    • NOTE: This field always lists the current (permanent) instructor attached to the class. Substitute instructors will only be shown if they are scheduled to replace a permanent instructor on the "Enrollment Date."
  • (*) Zone - Zone/Area attached to the Class
  • (*) Schedule - Day(s)/TIme(s) when the class will be held

(*) indicates that clicking on the column name will sort the information. By default, the information is sorted alphabetically by the Class name.

What actions can be performed from the CLASSES page?

To the left of each Class are various “Action” icons. Clicking on an icon will present you with options to perform specific tasks related to the Class.

  • Pencil/Edit icon - allows you to edit Class details.
  • Enrollments - allows you to view enrollments in the class and perform additional enrollment-related tasks:

    • Enrollment Wizard - launches the Student Enrollment Wizard to enroll a student into the selected class.
    • Group Enroll - Allows you to enroll multiple students in the selected class
    • Group Transfer - Allows you to transfer multiple students from the selected class into another class.
    • Drop All - Allows you to assign a drop date to all of the students in the selected class.
      • Can be limited to Current students, Future students, or All students.
        • NOTE: Makeup enrollments are not included when performing this task.
    • View/Edit/Contact class enrollments - displays all enrollments in the class, categorized into enrollment types. Defaults to show “All Enrollments.”
  • To the left of each enrollment is an “Actions” icon that can be used to perform tasks related to the enrollment. Clicking the icon will reveal these options:
    • For ACTIVE/TRIAL/MAKEUP/SINGLE DAY enrollments:
      • Edit Student - launches the Student Details window.
      • Edit Family - launches the Family Details window.
      • Edit Enrollment - allows you to edit details of the selected enrollment.
      • Drop Enrollment - allows you to assign a drop date/drop reason the selected enrollment.
      • Transfer Enrollment - allows you to transfer the selected enrollment from the current class into a new class.
      • Delete Enrollment - allows you to delete the selected enrollment.
        • NOTE: Deleting an enrollment will remove all history of the enrollment from the student and family records (with the exception of associated ledger charges).
      • Email Family - launches the Student Email Blast window.
    • For WAIT enrollments (ONLY):
      • Approve - Launches the New Enrollment Wizard with the waitlisted class automatically selected.
        • Upon completion, the system will automatically add a drop date to the current WAIT type enrollment and create a new ACTIVE enrollment for the student in the class being viewed.
        • If the "Send Enrollment Email" option is enabled, the system will use the "Waitlist Approved" email template under SETTINGS>SETUP>GENERAL SETTINGS>COMMUNICATION TEMPLATES>ICLASSPRO to notify the user of their new Active enrollment.
      • Deny - will delete the WAIT enrollment completely.
      • Notify Class Opening - automatically sends the family an email notifying them that there is an opening in the class for which they are Waitlisted.
        • This uses the “Class Opening Available” email template under SETTINGS>SETUP>GENERAL SETTINGS>COMMUNICATION TEMPLATES>ICLASSPRO.
      • Edit Student - launches the Student Details window.
      • Edit Family - launches the Family Details window.
      • Edit Enrollment - allows you to edit details of the original WAIT type enrollment.
      • Drop Enrollment - Allows the drop workflow to be accessed. 
        • Placing a drop date on the waitlist enrollment maintains the record, but the student is removed from the waitlist after the drop date passes.
        • Form Fields May Include:
          • Drop date
          • Drop Reason(if required)
          • (optional)Drop Notes
          • Enable/Disable a drop email notification
      • Email Family - launches the Student Email Blast window.
  • Calendar - switches to the CALENDAR page showing only the selected class.
  • Class Notes - Allows you to create/update Class Notes.
  • Class Attendance - Allows you to view, record or edit attendance for the class over a specified date range.
  • Class Evaluations - allows you to view, record, or edit skill evaluations for the class.
