Overview
The Staff Schedule Report (STA-3) provides schedule information for staff members assigned as instructors to classes or camps. The report sorts results by instructor and includes class or camp schedule details, enrollment counts, openings, and total teaching hours per week.
Key Report Details
The report includes the following details:
- Class or camp day
- Class or camp time
- Class or camp name
- Number of instructors assigned
- Number of openings
- Number of current enrollments
- Teaching-hour totals per week
Important notes
- Totals shown for openings and current enrollments reflect the numbers available on the day you generate the report.
- This report refers to permanently assigned instructors only.
Using Preset Filters
If you commonly use the same filters when running this report, you can save them as Presets. Load a Preset Filter when you open the report page, set your date range, and generate the report in the preferred format.

Accessing the Report
To access the Staff Schedule Report:
- From the main navigation menu, go to Reports.
- Locate the Staff Schedule Report (STA-3).
- Select the report name to open the report filters.
Step-by-Step Instructions
- Open the Staff Schedule Report (STA-3).
- Select the desired filters to limit the report results.
- Review the available filter sections:
- General Filters
- Class/Camp Filters
- Display Options
- Select the desired export format at the bottom of the report.
- Generate the report.
General Filters
Use General Filters to limit results by staff status, Location, schedule day, Program, Level, instructor, or Session.

Staff Member Status: Use Staff Member Status to limit the report based on the staff member’s account status.
- Active: Limits the report to staff members whose account status is set to “Active.”
- Inactive: Limits the report to staff members whose account status is set to “Inactive.”
- Locations: Use Locations to limit results to staff members assigned as an instructor to classes or camps associated with the selected Location or Locations.
- Day Of Week: Use Day Of Week to limit results to staff members assigned as an instructor to classes or camps that meet on the selected day or days of the week.
- Choose Program: Use Choose Program to limit results to staff members assigned as an instructor to classes or camps associated with the selected Program or Programs.
- Choose Level: Use Choose Level to limit results to staff members assigned as an instructor to classes or camps associated with the selected Level or Levels.
- Choose Instructor: Use Choose Instructor to limit results to the selected instructor or instructors.

Choose Session: Use Choose Session to limit results to staff members assigned as an instructor to classes associated with the selected Session or Sessions.
- By default, the Choose Session filter only displays current and future Sessions.
- Enable the Show Past toggle to display past Sessions or Rolling Sessions, if needed.
Class/Camp Filters
Use Class/Camp Filters to choose whether the report includes class data, camp data, appointment data, or all three.

Show Class/Camp: Use Show Class/Camp to choose which schedule types appear in the report.
- Show Classes: Includes class-related data for each staff member.
- Show Camps: Includes camp-related data for each staff member.
- Show Appointments: Includes appointment-related data for each staff member.

Class Status: Use Class Status to choose which classes appear in the report.
- Active: Includes active classes.
- Inactive: Includes inactive classes.

Camp Status: Use Camp Status to choose which camps appear in the report.
- Active: Includes active camps.
- Inactive: Includes inactive camps.
Display Options
Use Display Options to choose whether the report includes instructors who do not currently have assigned classes or camps.
- Show All Instructors: Enable Show All Instructors to include all staff members, even if they are not currently assigned as instructors to any classes or camps.
Important note:
- Choosing any limiting filters above overrides Show All Instructors when you require a specific Program or Session.
Generating the Report
- Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report.
- The System will immediately generate the report in the selected format.
Understanding the Report Results
Enrollment and opening totals
The report calculates openings and current enrollments when you generate the report. If enrollments change after you generate the report, run the report again to view updated totals.
Instructor assignments
The Staff Schedule Report includes permanently assigned instructors only. Temporary, substitute, or non-permanent instructor assignments do not appear unless they are stored as permanent instructor assignments for the class or camp.

Why does an instructor not appear on the report?
- Confirm that the staff member matches the selected Staff Member Status filter and has a permanent instructor assignment for a class or camp included in the report filters.

Why do the enrollment or opening totals look different from a previously generated report?
- The report reflects openings and current enrollments as of the day you generate it. Run the report again to view current totals.

Why do past Sessions not appear in the Choose Session filter?
- The Choose Session filter only displays current and future Sessions by default. Enable the Show Past toggle to display past Sessions or Rolling Sessions.

Why does Show All Instructors not include every instructor?
- Limiting filters, such as Choose Program or Choose Session, override Show All Instructors when the report needs to return results for a specific Program or Session.

Can the report include both classes and camps?
- Yes. Enable both Show Classes and Show Camps under Show Class/Camp to include class and camp data.
