What is the Camp Sign In/Sign Out Report (CAM-4)?

The Camp Sign In/Sign Out Report (CAM-4) creates a list of students enrolled in camps, grouped or listed by camp, with space for guardians to sign students in and out. This report is commonly used at drop-off and pickup so staff can track when students arrive and leave.

Chosen filters related to enrollments produce results based on the Start Date and End Date selected when generating the report.

Recommended Use

Use this report before camp check-in begins so staff have a printed sign-in/sign-out sheet ready for guardians. Review the selected date range carefully, especially when camps use multiple blocks or when students attend only certain days within a larger camp date range.

Important Enrollment Date Details

Camp enrollments are considered ACTIVE in a camp for the period beginning with the first block selected and ending with the last block selected.

For example, if a student is enrolled only on May 5 and May 8, the enrollment is considered active from May 5–May 8. This also includes May 6 and May 7 within the active enrollment range.

Using Preset Filters

If the same filters are commonly used when running this report, administrators can save those filters as Presets. After saving a Preset Filter, administrators can load it whenever they open the report page, set the date range, and generate the report in the preferred format.

Accessing the Report

  1. From the main navigation menu, go to Reports.
  2. Locate the Camp Sign In/Sign Out Report (CAM-4).
  3. Select the report to open the report options.
  4. Choose the desired filters, display options, and format.
  5. Generate the report.

Step-by-Step Instructions

  1. Navigate to the Camp Sign In/Sign Out Report (CAM-4).
  2. Enter the Start Date and End Date for the report.
  3. Choose a Camp Status:
    • Active — Limits the report to camps currently marked “Active.”
    • Inactive — Limits the report to camps currently marked “Inactive.”
  4. Select one or more Locations.
    • At least one Location must be selected before the report can be generated.
  5. Apply any additional filters needed, such as Program, Zone, Level, or Choose Camp.
  6. Select any optional Show details to include additional information on the report.
  7. Select any Print Layout options needed for formatting or extra rows.
  8. Choose the desired report format.
  9. Generate the report.

Available Filters

The report includes several filters that control which camps and student enrollments appear in the results.

  • Start Date/End Date: Use Start Date and End Date to determine the date range the System reviews when generating the report. The System only looks at camps that are active within this specific date range, based on the camp start date. Chosen enrollment-related filters produce results that are true based on the selected Start Date and End Date.
  • Camp Status: Use Camp Status to limit the report based on whether camps are currently active or inactive.
    • Active: Limits the report to camps currently marked “Active.”
    • Inactive: Limits the report to camps currently marked “Inactive.”
  • Locations: Use Locations to limit the results to students with enrollments associated with the selected Location or Locations. At least one Location must be selected before the option to generate the report becomes available.
  • Program: Use Program to limit the results to students with enrollments in camps within the selected Start Date and End Date that are associated with the selected Program or Programs. Leaving this filter blank includes all Programs.
  • Zone: Use Zone to limit the results to camps assigned to the selected Zone or Zones. Leaving this filter blank includes all camps.
  • Level: Use Level to limit the results to camps assigned to the selected Level or Levels. Leaving this filter blank includes all camps.
  • Choose Camp: Use Choose Camp to limit the results to students with enrollments within the selected Start Date and End Date that are associated with the selected Camp or Camps. Leaving this filter blank includes all Camps.

Display Options

Display options control which additional details appear on the report and how the report is formatted for printing.

  • Show: Select any of the following options to include additional information on the report.
    • Age
    • Birthday
    • Gender
    • E-mail Address
    • Account Balance
    • Questions
    • Deleted Questions
  • Print Layout: Select any of the following options to adjust the report layout or include additional printable rows and details.
    • Landscape
    • Print 3 extra rows
    • Print rows for max enrollments
    • Prefill Guardian Name and Phone Number

Print Layout Tips

  • Use Landscape when the report includes several display options or needs more horizontal space.
  • Use Print 3 extra rows when staff may need additional blank lines for walk-ins, corrections, or manual notes.
  • Use Print rows for max enrollments when the printed sheet should include enough rows for the maximum number of expected enrollments.
  • Use Prefill Guardian Name and Phone Number when staff need guardian contact details available during sign-in or sign-out.

Generating the Report

  • Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report window.
  • The System will immediately generate the report in the selected format.

Use HTML to preview the report in the browser. Use PDF when preparing a printable version for staff or guardians to use during drop-off and pickup.

Troubleshooting & FAQs

  • Why can’t I generate the report?
    • At least one Location must be selected before the report can be generated. Select the appropriate Location or Locations, then generate the report again.
  • Why is a student appearing on dates when they are not specifically enrolled in a block?
    • Camp enrollments are considered ACTIVE from the first selected block through the last selected block. For example, if a student is enrolled on May 5 and May 8, the enrollment is considered active from May 5–May 8, including May 6 and May 7.
  • Why are some camps missing from the report?
    • Review the Start Date, End Date, Camp Status, Locations, Program, Zone, Level, and Choose Camp filters. Any selected filters limit which camps and enrollments appear on the report.
  • Can I include guardian contact information on the report?
    • Yes. Select Prefill Guardian Name and Phone Number under Print Layout to include guardian name and phone number details.
  • Can I save the filters I use most often?
    • Yes. If the same filters are commonly used, save them as Presets. The next time the report is opened, load the Preset Filter, set the date range, and generate the report in the preferred format.
