From the Customer Portal/Mobile App, guardians can view each student’s available tokens, see expiration details, and apply or request makeup enrollments based on your organization’s configured settings.
Overview
Makeup Tokens allow customers to redeem missed class time by applying available tokens toward a makeup enrollment. The system can be configured to automatically issue Makeup Tokens when a student is marked absent (depending on your settings under SETTINGS>MAKEUP TOKENS), or staff can manually issue the Tokens.
Once issued, families can redeem tokens for eligible MAKEUP-type class enrollments directly through the Customer Portal or Mobile App (if allowed).
Important Notes
- These instructions assume that Makeup Tokens are already enabled and configured by your business.
- Some features described may not be available via the Customer Portal/Mobile App, depending on your Makeup Token settings.
Accessing the Feature
Customer Portal Access
- Log into the Customer Portal using your email address and password.
- Navigate to My Account and select the Makeups icon for the appropriate student.
- A list of all Makeup Tokens for that student will appear. Expand any collapsed area to view more details.
Mobile App Access
- Log into the Mobile App.
- From the navigation toolbar, select Account.
- Select the student for whom you wish to review Makeup Token details.
- Select Makeups to view the token details.
To ensure that families see tokens that will expire the earliest first within these views, Makeup Tokens are organized by Expiration Date (oldest to newest). If two Tokens have the same Expiration Date, they are further sorted by Token ID. Any tokens without an Expiration Date appear after expiring tokens.
Step-by-Step Instructions
Using a Token to Create a Makeup Enrollment
- Depending on whether the system is configured to auto-approve Makeup Token requests, select Use Makeup Token (to automatically create a makeup enrollment in an eligible class) or Request (to submit the request for staff approval).
- The System displays eligible classes based on:
- The Makeup Token’s settings
- The selected makeup date (defaults to the current date)
- Student’s age and gender
- Class availability
- Locate the desired class and select it to complete the enrollment process.
- Depending on your configuration, the enrollment will either:
- Be created immediately, or
- Be submitted for staff approval.
Additional Options
- Use the filters at the top of the page to refine eligible classes.
- If Restrict Applying Makeup Tokens Only to Classes With Expected Absences is enabled under SETTINGS>MAKEUP TOKENS>CUSTOMER PORTAL SETTINGS, only classes with expected absences for the chosen makeup date will be shown.
Special Enrollment Cases
- If a class meets multiple times in one day (e.g., Monday from 7:00–8:00 PM and 8:00–9:00 PM), redeeming a Makeup Token will create enrollments for all timeslots on that day.
- If a class meets on multiple days (e.g., Monday and Wednesday), the student will only be enrolled for the date chosen when redeeming the token.
- Makeup enrollment availability may also be affected by the Restrict enrollment start date based on class start time setting under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>CLASS REGISTRATION.
- If a token is linked to a deleted Program, families will see a Contact Us message. Staff must reassign the token to a valid Program before it can be used.
