Makeup Tokens can be managed directly from a student’s Attendance view in the Office Portal. Administrators with the appropriate staff permissions can edit token details, delete unused tokens, or reset tokens that are tied to pending makeup enrollments.
Overview
Makeup Tokens are used to allow students to attend a makeup class when they miss a regularly scheduled class. Over time, administrators may need to adjust token details, remove a token that is no longer needed, or reset a token that is tied to a canceled makeup enrollment.
Editing, deleting, or resetting an existing Makeup Token requires that the staff member have the appropriate staff permissions enabled. These permissions are configured within staff settings.
Accessing the Feature
- From the main navigation menu, go to STUDENTS.
- Locate and select the student associated with the Makeup Token.
- Select the Attendance icon (checkmark) next to the student’s name to open the Attendance view.
- Select Makeup Tokens.
Step-by-Step Instructions
Editing an Existing Makeup Token
Use this option when you need to update token details such as expiration date or notes.
- Access the student’s Makeup Tokens list.
- Select the pencil/edit icon next to the Makeup Token you want to update.
- Edit the token details as needed.
- (Optional) Select Send Notification Email if you want to notify the family of the updated token details.
- Select Update Token to save your changes.
Deleting an Existing Makeup Token
Use this option to permanently remove a Makeup Token that is no longer needed.
- Access the student’s Makeup Tokens list.
- Locate the Makeup Token you want to remove.
- Choose one of the following methods:
- Select the trash can/delete icon next to the token.
- Select the pencil/edit icon, then select the red DELETE button.
Once deleted, the Makeup Token cannot be recovered.
Resetting an Existing Makeup Token
Resetting a token is typically used when a pending makeup enrollment needs to be canceled.
- Access the student’s Makeup Tokens list.
- Expand the Pending Tokens section.
- Locate the token associated with the pending makeup enrollment.
- Select the Reset Token icon next to the enrollment.
Resetting a token will:
- Remove the pending makeup enrollment.
- Return the token to an Unapplied status.
- Keep the original expiration date unchanged.
Automatically Expiring Makeup Tokens for Dropped Enrollments
The Expire Makeup Tokens Autopilot workflow can automatically update the expiration date of active Makeup Tokens when:
- A student drops an enrollment, and
- The student does not have another enrollment scheduled at the time the workflow runs.
This automation helps prevent unused tokens from remaining active indefinitely.

Why can I not edit or delete a Makeup Token?
- Editing, deleting, or resetting Makeup Tokens requires specific staff permissions. Verify that your staff profile includes the required Makeup Token permissions.

Does resetting a Makeup Token extend its expiration date?
- No. Resetting a token does not change the original expiration date.

What happens if I delete a Makeup Token by mistake?
- Deleted Makeup Tokens cannot be recovered. A new token must be issued if needed.

Will families be notified when I edit a token?
- Families are only notified if Send Notification Email is selected when updating the token.

Are parents notified if the Expire Makeup Tokens Autopilot workflow expires their tokens early?
- No. The Expire Makeup Tokens Autopilot workflow does not trigger any communications with the customer.
