What List Widgets Are Available?

IN BRIEF
List widgets display counts of activities such as enrollments, payments, skills evaluations, or pending requests. They are available on both the Welcome Page and the Dashboard. Depending on the widget, they can show current totals or comparisons across yesterday, this month, and last month.

List widgets help staff monitor recent activity and trends.

  • Many list widgets compare data for:
    • Today vs. yesterday
    • Current month vs. last month
  • Some list widgets provide point-in-time totals only (marked with an asterisk *).
  • Certain widgets are linked to Online Activity notifications; when notifications are cleared, totals decrease accordingly.

Accessing the Feature

  1. From the main landing page, select the Dashboard tab or Welcome Page.
  2. Review existing List widgets.
  3. Select a widget to view details or navigate to related reports.
  4. Edit the screen to add, remove, or swap out List widgets as needed.
    1. From the Dashboard, List widgets can be added, removed, or rearranged on the page.
    2. From the Welcome page, List widgets can be swapped out as the page layout allows.

Step-by-Step Instructions

NOTE: While hovering over these widgets in edit mode, a gear icon indicates that there are additional settings for the widget. Click on the gear icon to bring up these options.

Accounts Created (*)

  • Displays number of new family accounts created through the Customer Portal.
  • Based on Online Activity entries.
    • Number decreases as notifications are cleared.

All Accounts Created (*)

  • Displays the total number of new family accounts created in both the Office Portal and Customer Portal.

Appointment Bookings

  • Shows total number of appointment bookings as of today.
  • Includes comparison data for:
    • Yesterday
    • Current calendar month
    • Last calendar month

Live Stream Billing Count

  • Shows minimum, maximum, and average active students over the last 30 days.
  • Includes ACTIVE, TRIAL, and CASUAL/DROP IN/ON DEMAND/SINGLE DAY enrollment types.
  • Used to calculate monthly subscription cost for iClassPro Live.

Important Notes

  • Editing or deleting enrollments will affect historical data.
  • After edits, future reports may not match historical widget data.

Permissions

  • Requires Students page access set to full.

Autopay

  • Displays total number of AutoPay payment events as of today.
  • Includes comparisons for yesterday and current month.

Drops

  • Shows total number of drops as of today.
  • Includes comparisons for yesterday and current month.

Permissions

Requires Enrollments task permission set to view or full.

Drops & Transfers

  • Displays combined totals of drops and transfers.

Enrollments

  • Displays total number of ACTIVE type enrollments as of today.
  • Includes comparisons for yesterday, current month, and last month.
  • Additional Option: Include Inactive Classes/Camps

Makeups

  • Displays totals for:
    • Automatically created makeup tokens
    • Manually created makeup tokens
    • Makeup tokens used
  • Counts apply to the selected time frame.
  • Additional Option: Select Status Time Frame:
    • Today / Weekly / Monthly / Yearly / Last 90 days / All Time

Permissions

Requires Attendance task permission set to full.

Overtime Hours

  • Displays combined overtime hours for:
    • This week
    • This month
    • Previous month

Permissions

Requires Time Clock task permission set to view or full.

Payments & Credits

  • Displays total number of Payments and Credit entries as of today.
  • Includes comparisons for yesterday, current month, and last month.

Pending Drop Requests (*)

  • Displays number of pending drop requests from Online Activity.
    • Total decreases as requests are cleared.

Pending Transfer Requests (*)

  • Displays number of pending transfer requests from Online Activity.
    • Total decreases as requests are cleared.

Pending Enrollment Requests (*)

  • Displays number of pending enrollment requests from Online Activity.
    • Total decreases as requests are cleared.

Skills Evaluated

  • Displays total number of skills evaluated as of today.
  • Includes comparisons for yesterday and current month.

Skill Events Passed

  • Displays total number of skill events marked as “Passed” as of today.
  • Includes comparisons for yesterday and current month.

Skill Levels Passed

  • Displays total number of skill levels marked as “Passed” as of today.
  • Includes comparisons for yesterday and current month.

Staff (*)

  • Displays total number of active/inactive staff accounts as of today.

Transfers

  • Displays total number of transfers as of today.
  • Includes comparisons for yesterday and current month.

Troubleshooting & FAQs

  • Why do my Online Activity-based widget counts decrease unexpectedly?
    • These counts are tied to Online Activity notifications. When notifications are cleared, totals adjust accordingly.
  • Why do my Live Stream Billing Count numbers change after editing enrollments?
    • Editing or deleting enrollments affects historical data, so totals may no longer match previously generated reports.
  • Do all list widgets include comparisons?
    • No. Widgets marked with an asterisk (*) provide current totals only and do not include time frame comparisons.
