IN BRIEF
The Program Summary widget displays enrollment totals by program as of today’s date. It includes a donut chart for quick visualization and can be customized to show current-day totals or counts from the past seven days. Program Widgets are only available on the Dashboard.

Overview

The Program Summary widget helps staff track enrollment distribution across programs at a glance.

• Displays a donut chart with program totals.
• Totals can include or exclude inactive classes/camps.
• Offers a “Search Enrollments For The Last Seven Days” setting to expand beyond today’s data.
• Breaks down program enrollment data into three categories:
  • Enrollments Today/Last 7 Days
  • Enrollments for the Previous Month (This Year)
  • Enrollments for the Previous Month (Last Year)

Important Notes

• WAIT enrollments are excluded since waitlisted students do not attend events.
• If a student transfers between programs during the reporting range, the widget only counts the last program in the transfer chain.
  • For example: If a student transfers from Gymnastics to Tumbling, only Tumbling is counted.
• Because of this, Program Widget totals may differ from the Program Summary Report (CLA-3), which counts each program enrollment separately.

Accessing the Feature

1. Log into the Office Portal.
2. Depending on how your staff profile is configured, the Dashboard Page will either load automatically, or you may be directed to the Welcome page.
3. If you are directed to the "Welcome" page, click on the "Dashboard" heading to switch views.
4. Review the displayed widgets.
   • If the Program Summary widget is already pinned to your Dashboard, hover over the donut chart to view program-specific totals.
5. Every staff member can customize their own Dashboard view from "Edit" mode.

6. To enter "Edit" mode, click the pencil/edit icon at the top right-hand side of the screen.

   

7. Note that based on staff permissions, some widgets may not be available for your user.
8. After making any customizations to the view, be sure to SAVE your changes.

NOTE: you can always return to your main landing page from anywhere in the Office Portal by clicking on the "iClassPro" logo in the upper left-hand corner of the page.

Step-by-Step Instructions

Program Summary Totals

The widget provides three data views when hovering over the donut chart:

1. Enrollments Today or Last Seven Days
   • “Search Enrollments For The Last Seven Days” Disabled:
     • Displays ACTIVE, TRIAL, MAKEUP, and SINGLE DAY enrollments as of today.
       • Example: “15 Enrollments.”
   • “Search Enrollments For The Last Seven Days” Enabled:
     • Displays ACTIVE, TRIAL, MAKEUP, and SINGLE DAY enrollments from the past 7 days.
       • Example: “50 Enrollments Last Seven Days.”
2. Enrollments for the Previous Month (This Year)
   • Shows totals for ACTIVE, TRIAL, MAKEUP, and SINGLE DAY enrollments from the previous calendar month of the current year.
     • Example: “30 Enrollments Feb 2025.”
   • Not affected by the 7-day search setting.
3. Enrollments for the Previous Month (Last Year)
   • Shows totals for ACTIVE, TRIAL, MAKEUP, and SINGLE DAY enrollments from the same calendar month in the previous year.
     • Example: “28 Enrollments Feb 2024.”
   • Not affected by the 7-day search setting.

Explanation of Totals

• Enrollments – Total ACTIVE/TRIAL/MAKEUP/SINGLE DAY class/camp enrollments × number of meetings in the selected range.
• Openings – (Maximum allowed enrollments × number of meetings) − (Total ACTIVE/TRIAL/MAKEUP/SINGLE DAY enrollments × number of meetings).
• Camps/Classes – Total number of class/camp meetings within the selected range.

Troubleshooting & FAQs

• Why do totals in the Program Widget differ from the Program Summary Report?
  • The widget only counts the final program in transfer chains, while the report counts each program enrollment separately.
• Why are WAIT enrollments missing from totals?
  • WAIT type enrollments are excluded since students on waitlists do not attend classes or camps during the date range.
• Why does my donut chart show lower numbers when the 7-day option is disabled?
  • With the option disabled, only today’s enrollments are counted. Enabling it expands totals to the past 7 days.
• Why do I not see an option to add a Program widget to the Welcome page?
  • Program widgets are only available on the Dashboard.
