What KPI Widgets Are Available?

Key Performance Indicator (KPI) widgets allow you to compare enrollment, family, and student data across time periods. They display current totals and provide comparison figures for last month, last year, or past/previous date ranges. KPI widgets are available on both the Welcome Page and the Dashboard

Overview

KPI widgets are designed to highlight trends and comparisons:

  • Compare data for:
    • Current month
    • Last month
    • Same month in the previous year
    • Recent 7/30/60 day periods
  • Show whether numbers have risen or fallen within the past 7 days.
  • Allow customization of comparison settings for past vs. previous date ranges.

Definitions

  • Past = The immediate 7 or 30 days prior to today’s date.
  • Previous = The 7 or 30 day period before the “past” period.

Examples

Based on September 21, 2018

  • Past 7 Days = highest totals between September 14–20, 2018.
  • Previous 7 Days = highest totals between September 7–13, 2018.
  • Past 30 Days = highest totals between August 22–September 20, 2018.
  • Previous 30 Days = highest totals between July 22–August 21, 2018.
  • Same 30 Days, Previous Year = highest totals between August 22–September 20, 2017.

Accessing the Feature

  1. From the main landing page, select the Dashboard tab or Welcome Page.
  2. Review existing KPI widgets.
  3. Select a widget to view details or navigate to related reports.
  4. Edit the screen to add, remove, or swap out KPI widgets as needed.
    • From the Dashboard, KPI widgets can be added, removed, or rearranged on the page.
    • From the Welcome page, KPI widgets can be swapped out as the page layout allows.

Step-by-Step Instructions

Active Enrollments

  • Displays the total number of ACTIVE type enrollments as of today.
  • Comparison data available (last month, last year, etc.).
  • Option to include/exclude inactive classes or camps.

Important Note

  • Transfers are counted as a single enrollment.
    • This means totals may not match the Program Summary widget, which counts an enrollment for each program a student is enrolled in during the date range.

Setting: Search Enrollments For The Last Seven Days

  • If disabled (default), provides a snapshot of today’s enrollments.
    • Matches totals in the Program Summary Report if run for the current date.
  • If enabled, includes enrollments from the past 7 days.
    • Matches totals in the Program Summary Report if run for the same date range.

Permissions

Requires Families/Students task permission set to view or full.

Active Families

  • Displays the total number of active families as of today.
  • Comparison data available.
  • Option to include/exclude inactive classes or camps.

Definition of “Active” Family

  • Has at least one ACTIVE, TRIAL, MAKEUP, or SINGLE DAY enrollment.
  • Enrollment start date is on/before today.
  • Enrollment end/drop date is null or ≥ today.

Setting: Search Enrollments For The Last Seven Days

  • If disabled (default), provides a snapshot of today’s enrollments.
  • If enabled, includes enrollments from the past 7 days.

Permissions

Requires Families/Students task permission set to view or full.

Active Students

  • Displays the total number of active students as of today.
  • Comparison data available.
  • Option to include/exclude inactive classes or camps.

Definition of “Active” Student

  • Has at least one ACTIVE, TRIAL, MAKEUP, or SINGLE DAY enrollment.
  • Enrollment start date is on/before today.
  • Enrollment end/drop date is blank or greater than or equal to today.

Setting: Search Enrollments For The Last Seven Days

  • If disabled (default), provides a snapshot of today’s enrollments.
    • Matches totals in the Program Summary Report if run for the current date.
  • If enabled, includes enrollments from the past 7 days.
    • Matches totals in the Program Summary Report if run for the same date range.

Additional Setting: Display totals for only ACTIVE enrollments or for ALL enrollments.

  • If All Enrollments is selected, totals may differ from the Active Enrollments widget.
    • Active Enrollments counts only ACTIVE enrollments.
    • Active Students can include all enrollment types.

Requires Students page permission set to full.

Troubleshooting & FAQs

  • Why do my Active Enrollment totals differ from the Program Summary widget?
    • The Program Summary counts each program enrollment separately. The Active Enrollments widget counts transfers as one enrollment.
  • Why do my Active Students and Active Enrollments widgets show different numbers?
    • Active Students may include TRIAL, MAKEUP, and SINGLE DAY enrollments if “All Enrollments” is selected, while Active Enrollments only counts ACTIVE enrollments.
  • Do I need special permissions to view KPI widgets?
    • Yes. Most KPI widgets require Families/Students or Students task/page permissions to be set to view or full.
