What is the Staff List Report (STA-1)?

The Staff List Report (STA-1) provides a detailed list of staff members in the System, including contact details, roles, and employment dates. This report is useful for reviewing instructor assignments, staff status, and organizational structure. You can apply multiple filters to refine results and export the report in several formats. 

Overview

The Staff List Report (STA-1) generates a list of staff members stored in your database. It includes key details for each staff member, allowing administrators to review staffing information quickly and efficiently.

This report includes:

  • Staff name (formatted as FIRSTNAME LASTNAME)
  • Status indicator
  • Phone number(s)
  • Primary email address
  • Birthday
  • Default assigned role
  • Assigned Staff User Group(s)
  • Hire date
  • Release date

Note(s):

  • This report refers to permanently assigned instructors only.
  • If you frequently use the same filters, you can save them as Presets for quicker access when generating future reports.

Accessing the Report

  1. From the main navigation menu, go to Reports.
  2. Select Staff List (STA-1).

Step-by-Step Instructions

  1. Navigate to the Staff List Report (STA-1).
  2. Enter a Start Hire Date and/or End Hire Date to filter staff by hire date range.
  3. Enter a Start Release Date and/or End Release Date to filter staff by release date range.
  4. Select a Status to limit results:
    • Active
    • Inactive
  5. Select one or more Locations to include only staff with access to those locations.
  6. Select one or more Day(s) of the Week to include only staff assigned to classes or camps meeting on those days.
  7. Select one or more Program(s) to include staff assigned to classes or camps within those programs.
  8. Select one or more Level(s) to include staff assigned to those levels.
  9. Select one or more Staff Keyword(s) to filter staff by assigned keywords.
  10. Select one or more Staff Role(s) to filter by default assigned role.
  11. Select one or more Staff User Group(s) to filter by assigned user groups.

Filter Behavior Notes

  • Leaving any filter blank will include all staff that meet the other selected criteria.
  • Multiple selections within a filter will expand results to include any matching values.

Generating the Report

  • Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report window.
  • The System will immediately generate the report in the selected format.

Troubleshooting & FAQs

  • Why are some staff members not appearing in my report?
    • Verify your selected filters. Date ranges, status, location, or program filters may be excluding those staff members.
  • Does this report include all staff in the System?
    • No. This report only includes permanently assigned instructors.
  • What happens if I leave filters blank?
    • Leaving filters blank includes all staff that meet any other selected criteria.
  • Can I reuse the same filter settings each time?
    • Yes. You can save commonly used filters as Presets and load them when accessing the report.
