What is the Charge Adjustments Report (FIN-31)?

Overview

An adjustment is a negative line item applied to a charge to reduce its value. Adjustments are commonly used for bad debt write-offs and billing corrections, and they can also be created automatically by System processes such as Point of Sale returns.

The Charge Adjustments Report (FIN-31) brings all of this activity together in one place so finance and administrative staff can review it. The report is used to reconcile adjustments for accounting purposes, track and audit bad debt write-offs, spot patterns that may point to billing issues, and maintain a clear record for compliance.

The report respects location-based permissions, so you only see adjustment data for the locations you are authorized to view. You can also save and reuse common report configurations as presets, while always confirming a fresh reporting period each time you run the report.

Default columns and summary totals

Regardless of which optional columns you enable, the report always includes the following columns:

  • Adjustment Date/Time
  • Adjustment Type
  • Adjustment Amount
  • Line Item Title
  • Family Name
  • Location
  • Charge ID

A Summary Totals section at the bottom of the report includes:

  • Total Adjustments Count
  • Total Adjustments Amount

These totals reflect only the adjustments included in your filtered results and appear in every export format.

Using Preset Filters

If you commonly use the same filters when running this report, you can save those selections as Preset Filters. After saving a Preset Filter, you can load it when opening the report page, set your date range, and generate the report in your preferred format.

Accessing the Report

  • Navigate to REPORTS.
  • In the left-hand manu, click on the Financial section.
  • Select Charge Adjustments Report (FIN-31).

NOTE: Access to this report is controlled by staff permissions. If the report does not appear under the Financial reports list, your user group or staff profile may not have the Charge Adjustments Report permission enabled.

Step-by-Step Instructions

Adjustment Filters

Adjustment filters control which adjustments are included in the report. They define the core of what you are reviewing.

  • Adjustment Start Date / Adjustment End Date — Sets the reporting period. This range defaults to the current date and can be adjusted to cover any period you want to review.
  • Adjustment Type — Limits results by the type of adjustment. Two options are available, and both are selected by default:
    • ADJUSTMENT
    • ADJUSTMENT – BAD DEBT
  • Locations — Restricts results to the locations you select. Only locations you have permission to view are available, and all permitted locations are selected by default. Deselect any locations you do not want to include.
  • Adjustment Amount Min / Adjustment Amount Max — Narrows results to adjustments that fall within a specific dollar range.
  • Staff Member (Created Adjustment) — Limits results to adjustments created by a specific staff member.
  • Show Only Charges With Multiple Adjustments — Includes only charges that have received more than one adjustment, which is useful for spotting charges that have been repeatedly corrected.

Charge Filters

Charge filters narrow the report based on the underlying charges the adjustments were applied to. All charge filters are optional, and the report generates successfully with none of them selected.

  • Charge Category — Filters by the category assigned to the charge.
  • Charge Line Item Type — Filters by the line item type of the charge.
  • Program — Filters by the program associated with the charge.
  • Charge Creation Start Date / Charge Creation End Date — Limits results to charges created within a specific date range.
  • Original Charge Amount Min / Original Charge Amount Max — Limits results to charges whose original amount falls within a specific dollar range.

Display Options

Display options control how the results are grouped and which additional columns appear.

  • Organize By — Determines how the results are grouped:
    • Adjustment Date — Displays separate tables for each date, with the adjustment line items listed under each date. This is the default.
    • Adjustment Type — Displays separate tables for ADJUSTMENT and ADJUSTMENT – BAD DEBT items.
    • Family — Displays separate tables for each family, with that family's adjustment line items listed together.
  • Show — Adds optional columns to the report. All optional columns are unchecked by default. Select any combination of the following:
    • Staff Member Name
    • Original Charge Amount
    • Current Charge Balance
    • Charge Category
    • Charge Line Item Type
    • Program
    • Charge Creation Date

Generating the Report

Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report.

The System will immediately generate the report in the selected format.

Adjustment Behavior

Adjustments cannot be edited or deleted once created, so the report always reflects the current state of each adjustment.

When grouped by family, charge information is shown once with its adjustments listed beneath it, and the charge balance shown is the current balance rather than the balance at the time the adjustment was applied.

Troubleshooting & FAQs

  • I don't see the Charge Adjustments Report in my Financial reports list. Why?
    • Access to this report is permission-based. Ask an administrator to confirm that the Charge Adjustments Report permission is enabled for your user group or staff profile.
  • Why don't all of my locations appear in the Locations filter?
    • The report only shows locations you have permission to view. If a location is missing, your account does not currently have access to that location's data.
  • An adjustment has no staff member listed. Is that an error?
    • No. Some adjustments are created automatically by the System, such as Point of Sale returns, and have no staff member assigned.
  • Can I edit or remove an adjustment shown in the report?
    • No. Adjustments cannot be edited or deleted once created, so the report always reflects their current state.
  • When I load a preset, why are the date fields empty?
    • Date ranges are not saved in presets. This is intentional, so you always confirm a fresh reporting period each time you run the report.
