The Instructor Retention Report (STA-10) identifies student retention rates over a specified date range on a per-instructor basis. Administrators can use this report to compare students enrolled during an initial “As of” date range against students who remain enrolled during a later “Retained” date range.

Overview
The Instructor Retention Report shows student retention totals for ACTIVE, ONEDAY, and MAKEUP enrollments that meet the selected report criteria. The report compares two date ranges:
- As Of Start Date/End Date – identifies students who had an active enrollment during the selected date range
- Retained Start/End Date – identifies which of those students also had an active enrollment during the retained date range
The report groups results by Class Program by default. If the Show Shift option is enabled, the report also groups results by Shift before grouping by Class.
Only Programs and Shifts with attached enrollments or students appear in the results.
Using Preset Filters
If you commonly use the same filters when running this report, you can save them as Presets. Load a Preset Filter when you open the report page, set your date range, and generate the report in the preferred format.

Accessing the Report
- From the main navigation menu, go to Reports.
- Select the Staff report category.
- Select Instructor Retention Report (STA-10).
Step-by-Step Instructions
General Filters
- Select the As Of Start Date/End Date.
- The System includes enrollments that were active within this date range.
- Students must have an ACTIVE, ONEDAY, or MAKEUP enrollment during this date range to appear in the report totals.
- Select the Retained Start/End Date.
- The System uses this date range for comparison purposes only.
- This date range must begin after the selected As Of Start Date/End Date.
- Only students who were active during the As Of Start Date/End Date can appear in the retained totals.
- Select one or more Locations.
- The System limits results to students with enrollments associated with the selected Location(s).
- You must select at least one Location before you can generate the report.
Class Filters

Choose Instructor
- Limits the report to enrollments in classes associated with the selected Instructor(s).
- Entries will not appear on the final report for a selected instructor or staff member who was not associated with the specified enrollments, events, or other report criteria during the selected date range.
- If an instructor was deleted after the start date of the report, the report includes relevant entries for that instructor for dates before they were deleted.
- If an instructor was created or attached to an event after the end date of the report, the instructor will not appear in the results.

Choose Program
- Limits the report to enrollments in classes associated with the selected Program(s).

Choose Level
- Limits the report to enrollments in classes associated with the selected Level(s).

Choose Session
- Limits the report to enrollments associated with the selected Session(s).
- The Choose Session filter displays current and future Sessions by default.
- Enable the Show Past toggle to display past Sessions or Rolling Sessions, if needed.
- If you select a Session, make sure the Retained Start/End Date matches the selected Session and the As Of Start Date/End Date matches the current Session or the Session you are using for comparison.

Show Shift
- Breaks the results down by each Shift, based on the designated start times.
- You must specify at least two Shifts to use this option.
- Use Add Another to designate more than three Shifts in the results.

Start Time Of Shift 1
- Sets the start time for the first Shift grouping.

- Sets the start time for the second Shift grouping.

Start Time Of Shift 3
- Sets the start time for the third Shift grouping, if needed.
Generating the Report
- Select your desired export format, such as HTML or PDF at the bottom of the report.
- The System will immediately generate the report in the selected format.
Understanding the report

Booked
- Shows students enrolled during the As Of Start Date/End Date.
- Includes totals for each day of the week and a grand total per week.

Retained
- Shows students who were enrolled during the As Of Start Date/End Date and also enrolled during the Retained Start/End Date.
- Includes totals and the retained percentage for each day of the week and a grand total per week.
- The System calculates the retained percentage as the Retained total divided by the Booked total.

Renewed Bookings
- Shows students enrolled during the As Of Start Date/End Date who started before the As Of Start Date or have a past enrollment.
- The System calculates the renewed bookings percentage as the Renewed Bookings total divided by the Booked total.

New Bookings
- Shows students enrolled during the As Of Start Date/End Date who started after the As Of Start Date and do not have any past enrollments.
- The System calculates the new bookings percentage as the New Bookings total divided by the Booked total.
Date Range Comparison
The As Of Start Date/End Date determines which students qualify for the report. The Retained Start/End Date only determines whether those qualifying students also remained enrolled during the later comparison period.
Shift Grouping
Enable Show Shift when you need to compare retention by class time groupings. The report uses the Shift start times you define to break results into separate Shift sections.
Troubleshooting & FAQs

Why can I not generate the report?
- Select at least one Location. The System requires a Location selection before generating the report.

Why is an instructor missing from the report?
- The instructor may not have been associated with enrollments, events, or other selected report criteria during the selected date range.

Why do past Sessions not appear in the Choose Session filter?
- The Choose Session filter shows current and future Sessions by default. Enable Show Past to display past Sessions or Rolling Sessions.

Why do retained totals only include some students?
- The retained totals only include students who were active during the As Of Start Date/End Date and also active during the Retained Start/End Date.

Why does the report not show Shift results?
- Enable Show Shift and specify at least two Shift start times. The report only breaks down Shift results when enough Shift criteria are provided.
