What are the Camp Settings Options?

These settings help determine how staff-created camp bookings behave in the Office Portal, how camps appear in the Customer Portal/Mobile App, and how the System calculates camp pricing.

Overview

The Camp Settings area is located under SETTINGS > SETUP > Camp Settings. This section includes options for configuring how camp bookings work, how camps are grouped or displayed, and how pricing is calculated.

Camp Settings include the following areas:

  • Camp Enrollment Wizard Settings
    • Controls how the Camp Enrollment Wizard handles staff-created camp bookings in the Office Portal.
  • Camp Types
    • Allows businesses to organize camps into multiple sections in the Customer Portal/Mobile App and customize the section titles.
  • Pricing Schedules
    • Determines how the System calculates camp tuition, including multi-block discounts, multi-sibling discounts, and special discounts.

Step-by-Step Instructions

Reviewing Camp Enrollment Wizard Settings

The Camp Enrollment Wizard Settings affect how the Camp Enrollment Wizard handles camp bookings created by staff members in the Office Portal.

Review and configure the available settings as needed:

  • Cart Reservation Timeout (Minutes) 
    Use Cart Reservation Timeout (Minutes) to define how long items remain reserved in the cart, based on when the most recent item was added.
    • The timer resets to this amount of time each time a new item is added to the cart.
    • When the timer reaches zero, the System automatically removes all items from the cart.
  • Cart Reservation Timeout Limit (Minutes) 
    Use Cart Reservation Timeout Limit (Minutes) to define the maximum amount of time a cart can remain in use, starting from when the first item was added.
    • This limit does not reset when new items are added to the cart.
    • The cart cannot remain active past this maximum time limit.
  • Anniversary fee (if not paid in the last 12 months, or based on your timeframe) 
    Enable this option to bill an additional flat fee to customers if their ledger does not include an Anniversary line item charge within the number of months specified under SETTINGS > SETUP > GENERAL SETTINGS > ANNIVERSARY CHARGES.
    • The fee may be billed per student or per family, depending on the Anniversary Charges setup.
    • The timeframe is controlled by the number of months specified in the Anniversary Charges settings.
    • When this option is enabled, the System displays additional anniversary fee settings.

Additional Anniversary Fee Options

When Anniversary fee (if not paid in the last 12 months, or based on your timeframe) is enabled, the following options become available:

  • Charge Anniversary Fee for Free Camps 
    Enable this option to bill an additional flat fee to customers even when the camp has a $0 tuition fee attached to it.
    • The fee may be billed per student or per family.
    • The fee applies when the customer’s ledger does not include an Anniversary line item charge within the number of months specified under SETTINGS > SETUP > GENERAL SETTINGS > ANNIVERSARY CHARGES.
    • This setting applies to ACTIVE type enrollments only.
  • Anniversary Fee Charge Category 
    Use Anniversary Fee Charge Category to select the charge category the System should apply to the anniversary fee charge.
    • The Anniversary Fee Program is determined by the Anniversary Charges setup under SETTINGS > SETUP > GENERAL SETTINGS > ANNIVERSARY CHARGES.
    • Any tax rate associated with that Program is used automatically when the System creates Anniversary Fees.

Reviewing Camp Types

Camp Types allow businesses to make the Customer Portal/Mobile App more user-friendly by organizing camps into multiple sections.

Use Camp Types to:

  • Create multiple camp sections in the Customer Portal/Mobile App
  • Customize the titles used for those camp sections
  • Help families locate the correct type of camp more easily

Camp Types are useful when a business offers several categories of camps, such as seasonal camps, specialty camps, recreational camps, or skill-based camps.

Pricing Schedules control how the Camp feature determines the amount to charge for camp enrollments.

Pricing Schedules may include:

  • Standard camp tuition
  • Multi-block discounts
  • Multi-sibling discounts
  • Special discounts

Use Pricing Schedules to define how camp charges should calculate when students enroll in one or more camp blocks, or when multiple siblings enroll.

    • No. The Camp Enrollment Wizard Settings affect staff-created camp bookings in the Office Portal. Similar Customer Portal/Mobile App settings are located under SETTINGS > CUSTOMER PORTAL > SETTINGS and SETTINGS > CUSTOMER PORTAL > OTHER SETTINGS > CAMP REGISTRATION.
  • Why are items removed from the cart automatically?
    • Items are removed when the Cart Reservation Timeout (Minutes) timer reaches zero. This timer resets each time a new item is added to the cart, unless the cart has reached the maximum time allowed by Cart Reservation Timeout Limit (Minutes).
  • Why does the cart timeout not continue resetting when new items are added?
    • The Cart Reservation Timeout Limit (Minutes) setting controls the maximum amount of time the cart can remain active from when the first item was added. Once that limit is reached, the timer cannot reset beyond that maximum time.
  • Why was an anniversary fee charged for a camp enrollment?
    • The System may charge an anniversary fee when Anniversary fee (if not paid in the last 12 months, or based on your timeframe) is enabled and the customer’s ledger does not include an Anniversary line item charge within the timeframe configured under SETTINGS > SETUP > GENERAL SETTINGS > ANNIVERSARY CHARGES.
  • Can the System charge an anniversary fee for a free camp?
    • Yes, but only when Charge Anniversary Fee for Free Camps is enabled. This setting allows the System to charge the anniversary fee even when the camp has a $0 tuition fee. This setting applies to ACTIVE type enrollments only.
