How Do I Configure Camp Types and Pricing Schedules? (Camp Setup)

Before creating new camps in iClassPro, administrators must define Camp Pricing Schedules and (optionally) Camp Types. Pricing Schedules determine how tuition and discounts are calculated, while Camp Types group similar camps together for easier management and display in the Customer Portal. 

Overview

Camp Pricing Schedules and Camp Types define the financial and visual structure of your camps.

  • Camp Pricing Schedules control how the System calculates tuition, deposits, sibling discounts, and other price modifiers.
  • Camp Types group similar camps under shared headings, making it easier for families to find the right camp when registering online.

If you plan to use the same pricing structure for multiple camps, you can reuse the same Camp Pricing Schedule across all of them.

Accessing the Feature

  1. In the Office Portal, navigate to SETTINGS>SETUP>CAMP SETTINGS.
  2. Expand either the Camp Types or Pricing Schedules, depending on which configuration you are setting up.

Step-by-Step Instructions

Create a Camp Type (optional)

A Camp Type groups similar camps together to make them easier for families to locate in the Customer Portal.

Each camp must be linked to a Camp Type.

Your account includes a default Camp Type labeled "Camp", but you can create additional types for more specific groupings (for example, "Summer Camp," "Holiday Camp," "Open Gym", or "Private Lesson").

  1. Navigate to SETTINGS>SETUP>CAMP SETTINGS.
  2. Expand the Camp Type section.
  3. Select Add New Camp Type.
  4. Enter the following information:
    • Singular and Plural Titles – define how the type will appear in the Office Portal and Customer Portal.
    • Charge Category - assign a Charge Category to be assigned to any tuition charges that are created for enrollments in camps associated with this Camp Type.
    • Image (optional) – upload a banner image for the Camp Type. The recommended image size is 400px x 200px.
      • This image appears in the Customer Portal whenever a camp of that type is open for registration (within its “Allowed Registration Dates”).
  5. Select Save to create the new Camp Type.

Create a Camp Pricing Schedule

A Camp Pricing Schedule determines how much the System charges for camp enrollments. This includes per-block pricing, multi-block/multi-sibling discounts, and any special discounts.

If multiple camps will use the same pricing model, you can assign a single Pricing Schedule to all of them.

  1. Navigate to SETTINGS>SETUP>CAMP SETTINGS.
  2. Expand the Pricing Schedules section.
  3. Select Add New Pricing Schedule.
  4. Complete the required fields:
    • Name – assign a clear, descriptive name (for example, “Weekly Camp Rates” or “Per-Day Pricing”).
    • Count Students / Attendees By - define how the system will count student enrollments from the same family for discount purposes.
    • Student/Attendee Deposit - If you are charging a deposit amount on sign up and the remainder of the price later on, enter the deposit amount for each student here. This can be a dollar or percentage of tuition.
    • Pricing Table - Enter the full pricing for each combination of blocks here (including deposit amounts in the total).
    • Special Discounts – If you offer Special Discounts for families marked as members, employees, or in service, or to define an Early Bird discount, enter the amounts or percentages in the Special Discounts tab.
  5. Save your changes to create the new Pricing Schedule.

Troubleshooting & FAQs

  • Can I change a Camp Type or Pricing Schedule after creating a camp?
    • You can edit or update these settings, but any changes may affect active or upcoming camps that use them. Always review pricing and registration display settings after making edits.
  • Do I have to create a Camp Type for every new camp?
    • Not necessarily. You can reuse any previously created Camp Type as long as it meets your display and grouping needs.
