What is the Unexcused/Excused Absence Report (CLA-14)?

Key Report Details

The report includes:

  • Student names
  • Class name
  • Date of the absence
  • Class schedule, including the day of the week and time
  • Excused absence indication
  • Any comment recorded with the absence

Chosen filters related to enrollments will produce results based on the Absences From Start Date/End Date selected when generating the report.

Accessing the Report

  1. From the main navigation menu, go to Reports.
  2. Locate the Unexcused/Excused Absence Report (CLA-14).
  3. Open the report to view the available filters and export options.

Step-By-Step Instructions

General Filters

  • Absences From Start Date/End Date (Required)
    • The System will only review attendance records that fall within this specific date range.
  • Report Type (Required)
    • Excused — includes excused absences within the specified date range
    • Unexcused — includes unexcused absences within the specified date range
  • Day of Week
    • Limits the report to classes that meet on the selected day of the week
  • Class Status (Required)
    • Active — limits the report to expected absences in classes currently marked “Active”
    • Inactive — limits the report to expected absences in classes currently marked “Inactive”
  • Program
    • Limits the report to classes associated with the selected Program
  • Class Keyword
    • Limits the report to classes associated with the selected Keyword
  • Session
    • Limits the report to attendance connected to the selected Session
    • Non-session classes will not be included if a Session is selected
  • Zone
    • Limits the report to attendance in classes assigned to the selected Zone
  • Level
    • Limits the report to classes associated with the selected Level
  • Instructor
    • Limits the report to classes assigned to the selected Instructor

Additional Filter Details

  • Session
    • The Session filter displays current and future Sessions by default.
    • Enable Show Past to display past Sessions or Rolling Sessions, if needed.
  • Instructor
    • Entries will not be included on the final report for any selected instructor or staff member who was not associated with the specified enrollments, events, or other relevant records during the selected date range.
    • If an instructor was deleted after the report start date, the results will include relevant entries for that instructor on dates before they were deleted.
    • If an instructor was created or attached to an event after the report end date, the instructor will not be included in the results.

Classes Filters

Classes With Excused Absences

Displays a list of classes with excused absences that match the criteria selected under the GeneralFfilters. Select one or more classes to limit the report results to absences in those classes within the specified date range

NOTE: If no specific classes are selected, or if all classes are selected, the report will include all listed classes

Generating the Report

  • Select your desired export format (such as HTML, PDF, XLS, or CSV) at the bottom of the report window.
  • The System will immediately generate the report in the selected format.

Troubleshooting & FAQs

  • Why are non-session classes missing from the report?
    • If a Session is selected, non-session classes will not be included in the report results.
  • Why do I only see current or future Sessions in the Session filter?
    • The Choose Session filter displays current and future Sessions by default. Enable Show Past to display past Sessions or Rolling Sessions.
  • Why is an instructor missing from the report results?
    • The instructor must have been associated with the specified enrollments, events, or other relevant records during the selected date range. If the instructor was created or attached after the report end date, they will not be included.
  • Why does a deleted instructor still appear in the report?
    • If the instructor was deleted after the report start date, the report may include relevant entries for dates before they were deleted.
  • What happens if no specific classes are selected?
    • If no specific classes are selected, or if all classes are selected, the report will include all listed classes that match the selected report criteria.
