What is the Absences Report?

The Absences Report is a list of absences for particular students within a specified date range. The report includes the Student/Family Names, Primary Phone Number, Primary Email Address, Class Name, Enrollment Start Date/End Date, and the number of absences within the specified date range.

NOTES: Chosen filters that relate to enrollments will produce results that are true based on the Start Date/End Date you select when generating the report.

If you commonly use the same filters when running this report, you can now save them as Presets! Simply load a Preset Filter whenever you open the report page, set your date range and click to generate the report in your preferred format. See our "Preset Filters for Reports" document for more information.

The Absences Report is available in either HTML, PDF, XLS or CSV format.

Available Filters

General Filters

  • START DATE/END DATE: the system will only look at attendance records that fall within this specific date range.
  • LOCATIONS: selecting one or more Location(s) will limit the report to only absences in Classes associated with the specified Location(s).
  • ENROLLMENT TYPE: selecting one or more Enrollment Type(s) will limit the results to only attendance records associated with the specified Enrollment Type(s).
    • Active
    • Single Day (if enabled)
    • Wait List
    • Trials
    • Make-Ups
  • DAY OF WEEK: selecting one or more Day(s) of the Week will limit the report to only absences in Classes that meet on the specified Day(s).
  • MINIMUM NUMBER OF ABSENCES WITHIN DATE RANGE: sets a minimum number of absences that students must have within the date range to be included in the results. (Defaults to a minimum of “1” absences.)
    • NOTE: As this report references each enrollment separately, this number refers to the minimum number of absences per enrollment within the specified date range of the report (not the total number of absences for the student).
  • ABSENCE TYPE
    • Exclude Excused Absences: if this option is enabled, the report will only display students who have had at least the minimum number of unexcused absences in the defined date range as determined by the "Minimum Number Of Absences Within The Date Range."
      • NOTE: If "Exclude Excused Absences" is enabled, the total number of absences reflected on the report will only include unexcused absences.
      • Consecutive Unexcused Absences Only - only displayed if "Exclude Excused Absences" is enabled.  If enabled, the system will only consider CONSECUTIVE unexcused absences in the report results.
  • CLASS STATUS
    • Active – will limit the report to only absences in classes that are currently marked “Active.”
    • Inactive – will limit the report to only absences in classes that are currently marked “Inactive.”

Class Filters

  • CHOOSE PROGRAM: selecting one or more Program(s) will limit the results to only attendance records for classes associated with the specified Program(s).
  • CHOOSE SESSION: selecting one or more Session(s) will limit the results to only attendance records for classes associated with the specified Session(s).
    • NOTE: The "Choose Session" filter will only display current/future sessions by default. However, there is a "Show Past" toggle option to display past Sessions/Rolling Sessions if needed.
  • CHOOSE CLASS LEVEL: selecting one or more Class Level(s) will limit the results to only attendance records for classes associated with the specified Class Level(s).
  • CHOOSE INSTRUCTOR: selecting one or more Instructor(s) will limit the results to only attendance records for classes associated with the specified Instructor(s).
    • NOTE: Entries will not be included on the final report for any selected instructor/staff member who was not associated with specified enrollments, events, etc., during the designated date/date range.
      • If an instructor was deleted AFTER the start date of the report, the results will include relevant entries for the instructor on the date(s) before they were deleted.
      • If an instructor was created/attached to an event AFTER the end date of the report, the instructor will not be included in the results.
  • CHOOSE CLASS KEYWORDS: selecting one or more Class Keyword(s) will limit the results to only attendance records for classes associated with the specified Keyword(s).
  • CHOOSE CLASS: selecting one or more Class(es) will limit the results to only attendance records for the specified Class(es).
