How Does the Check-In Kiosk Work?

The Check-In Kiosk allows parents to check students in for classes, camps, or appointments without visiting the front desk. They can enter the phone number associated with their account or scan a QR code (if enabled).

Overview

The Check-In Kiosk streamlines attendance by allowing parents to check students in independently using a designated kiosk computer or iPad.

  • A desktop version can be run on a standalone computer.
  • A mobile version is available through the iClassPro Kiosk app, which is supported only on iPads.
  • It is recommended to disable Autofill/Auto-Complete browser settings on the kiosk computer to avoid incorrect data from appearing.

  1. From the Office Portal, select the User icon in the upper right-hand corner.
  2. Choose Check-In Kiosk from the dropdown menu.

Step-by-Step Instructions

Checking In Using the Kiosk

  1. At the Check-In screen, enter either the primary or secondary phone number associated with the family account in the Your phone number field.
    • Tip: On an iPad, the virtual keyboard defaults to full layout. To switch to numeric-only, pinch the keyboard. This layout remains until the app is closed or changed.

      • If Enable QR code scanning is allowed in your Check-In Kiosk settings, an option to scan the QR code will be displayed above this field.
  2. Select the Arrow button to continue.
  3. All students associated with the account will be listed. Those with eligible enrollments on the current date will show a "Check In" option below the class/camp/appointment details.

    • NOTE: If the student is associated with one or more Family/Student Punch Passes, these will also be listed.
  4. Review the list of the child’s enrollments for the day. Each listing includes:
    • Class, camp, or appointment name
    • Time
    • Area/Zone
  5. Select Check In below the appropriate class or event.
    • If a student has multiple classes, they can be checked in for each, provided it is within the Early Check-In Window.

  6. Once attendance is recorded, a confirmation window appears showing that the check-in was successful, and the screen will return to the student list.
  7. Check in any additional students or events as allowed within the Early Check-In Window.
  8. When you have finished, scroll to the bottom of the list and choose I’m Done to complete the session.

  9. The system will return to the login screen, and a confirmation message appears showing that the logouts was successful.

Staff User Permissions

Launching the Check-In Kiosk requires logging in as an iClassPro Staff member. It is recommended to create a dedicated staff user profile for kiosk use with the following permissions:

Application Access:

  • iClassPro — FULL permission

Tasks:

  • Families/Students — FULL permission
  • Attendance — FULL permission

Optional Tasks (required if parents redeem Punch Passes):

  • Classes — FULL permission
  • Appointments — FULL permission
  • Enrollments — FULL permission
  • Punch Passes — FULL permission

NOTE: When logging in, the user may see an “unauthorized” message in the Office Portal. This does not affect kiosk functionality; they can still access the Check-In Kiosk link from the User icon.

Troubleshooting & FAQs

  • Why can’t a family check in at the kiosk?
    • The family has not accepted required family policies, or a student has not accepted required student policies.
    • A student has an expected absence recorded for the check-in date.
    • The family has an outstanding balance.
  • Q: Why are some classes not appearing in the Check-In Kiosk?
    • Classes will not be shown if the “Hide Enrollments” option is enabled in the class’s “Online Settings.”
  • Q: Why is staff information visible during check-in?
    • If the “Show Staff Names” option is enabled, instructor names will be displayed according to the “Customer Staff Display” setting under SETTINGS>SETUP>GENERAL SETTINGS>STAFF OPTIONS.
