QR codes in iClassPro can be used to let families or students log into the Check-In Kiosk without entering a phone number. QR codes can be generated automatically or assigned manually, and can be used on printed cards or mobile devices.
Overview
The Check-In Kiosk allows customers to check in for classes quickly. In addition to using a phone number, families or students can use unique QR codes assigned to them.
- Family-assigned QR Codes act like phone numbers and identify the family account.
- Student-assigned QR Codes identify a specific student and can automatically select them when checking in.
If Auto Check-In on Scan is enabled, the process is fully touchless. Otherwise, the customer will still need to select the appropriate student and class.
NOTE: iClassPro can generate QR codes and email them to parents. Parents can display the QR code on a mobile device or take a screenshot for faster access.
Accessing the Feature
- From the Office Portal, go to SETTINGS>CHECK-IN KIOSK.
- Locate and enable the setting Enable QR code scanning.
When this option is turned on, two additional settings become available:

Auto-Generate QR Codes for Customer Portal
- Automatically generates and assigns QR codes to families and/or students who access their account through the Customer Portal if one does not already exist.

Auto Check-In on Scan
- Enables fully touchless check-in. After a successful scan, the system automatically checks the family or student in for all eligible classes and events.
- Displays class details on screen, then returns to the main check-in screen after the timeout period.
Important Notes:
- The Auto Check-In on Scan option will be disabled if Show Check-In Popup is enabled.
- If there are blocking messages, they will display instead of a successful check-in confirmation.
Step-by-Step Instructions
Manually Adding a QR Code to a Family or Student
- From the Families or Students page, select the Edit (pencil) icon next to the desired record.
- Open the Codes tab.
- Select Add New Code to open the “Add Code” dialog.
- The Name field defaults to the current date. Optionally, edit this field to enter a descriptive name.
- In the Code Value field, either:
- Enter the code manually, or
- Select Scan Code to use a webcam or code scanner to capture it.
- When finished, select Save to keep the window open for further edits or Save & Close to save and exit.
- After saving, select the Email icon to send an email containing the assigned QR codes.
- The System uses the “QR Code” email template located under Settings > Setup > General Settings > Communication Templates > iClassPro.
- Families can also access their QR codes from the My Account screen in the Customer Portal/Mobile App.
Checking into the Kiosk Using a QR Code
Once QR code functionality is enabled:
- The Check-In Kiosk login screen will display a Scan QR Code option above the Your Phone Number field.
- Customers can scan their assigned code using a webcam connected to the kiosk.
Note: A webcam must be connected to the Check-In Kiosk terminal to use this feature.
Troubleshooting & FAQs

Why is the QR code option not visible in the Check-In Kiosk?
- Confirm that Enable QR code scanning is enabled under SETTINGS>CHECK-IN KIOSK. If disabled, the option will not appear on the kiosk login screen.
- Confirm that the browser on the Kiosk allows access to the webcam.

Why is Auto Check-In not working?
- Ensure that the Show Check-In Popup option is turned off. Auto Check-In is automatically disabled if this setting is active.

Can customers use QR codes on mobile devices instead of printed cards?
- Yes. QR codes can be accessed on a mobile device by navigating to the ACCOUNT page in the Mobile/Branded App and then choosing the appropriate student to check in.

Can QR codes be automatically assigned?
- Yes. Enable Auto-Generate QR Codes for Customer Portal under SETTINGS>CHECK-IN KIOSK. The System will create a code when a family or student logs in if none exists.
