Overview

The Special Enrollments Report displays a list of special enrollments within a defined date range. This includes:

  • Enrollment Type (WAIT, TRIAL, MAKEUP, SINGLE DAY)
  • Used Token indicator (for MAKEUP enrollments)
  • Class Name
  • Class Schedule
  • Student Name
  • Enrollment Date(s)

Additional fields can be included using display options.

Important Notes

Filters related to enrollments return results based on the selected Start Date and End Date.

  • If no date is entered:
    • The System defaults the Start Date to the current date
    • The drop date remains NULL
  • Preset filters can be saved and reused to streamline report generation.

  1. From the main navigation menu, go to Reports.
  2. Locate and select Special Enrollments Report (CLA-8).

Filter Options

General Filters

  • Start Date / End Date
    • Limits results to enrollments within the selected date range
  • Locations
    • Limits results to classes associated with selected locations
  • Enrollment Type Status
    • Filter by one or more types:
      • WAIT
      • TRIAL
      • MAKEUP
      • SINGLE DAY (if enabled)
  • Day of Week
    • Limits results to classes that meet on selected days

    • Limits results to classes within selected sessions
    • Note: Only current/future sessions display by default; use Show Past to include past sessions

  • Choose Instructor
    • Limits results to classes with selected instructors
    • Important Notes:
      • Instructors not associated with enrollments during the selected date range are not included
      • Deleted instructors still appear for dates prior to deletion
      • Instructors added after the report end date are not included
  • Choose Zone
    • Filters by Zone assignment

  • Request Date
    • Sorts chronologically by enrollment request date (WAIT only)
  • Start Date
    • Sorts by enrollment start date

  2. Select your preferred format (HTML, PDF, XLS, or CSV) to generate the report.

Troubleshooting & FAQs

  • Why are no enrollments appearing in my report?
    • Verify the Start Date and End Date. If left blank, the System defaults to the current date, which may exclude expected results.
  • Why is an instructor missing from the report?
    • The instructor must be associated with enrollments during the selected date range. Deleted or newly added instructors may not appear depending on timing.
  • Why do I see an asterisk (*) next to a class name?
    • This indicates a substitute instructor was present when the enrollment occurred.
  • Can I reuse my filter settings?
    • Yes. Save frequently used filters as Presets and reload them when generating future reports.
