How Do I Cancel a Booked Party?

Canceling a booked party removes the party details from the scheduled party slot in the Office Portal. Use this workflow when a family no longer needs the booking and the time slot should become available for another booking. 

Overview

Party bookings must be canceled from the Office Portal. At this time, customers cannot cancel a party booking from the Customer Portal.

Canceling a booked party deletes the party information from the selected party slot and makes that slot available for booking again. This process does not remove charges, issue refunds, or make any changes to the family ledger.

Accessing the Feature

  1. From the main navigation menu, go to the Parties page.
  2. Use the available filters or search options to locate the existing party booking.

Step-by-Step Instructions

  1. Select the pencil/edit icon to edit the existing party details.
  2. Select Delete at the bottom of the window.
  3. Confirm the deletion if prompted.

Ledger and Refund Considerations

  • Deleting a party booking does not remove any charges from the family ledger.
  • Deleting a party booking does not issue any refunds to the family.
  • The System only deletes the information from the party slot.
  • After deletion, the party slot becomes available for another booking.
  • If the family needs a refund or ledger adjustment, staff will need to update the family ledger separately.

    • No. At this time, customers cannot cancel a party booking from the Customer Portal. Staff must cancel the booking from the Office Portal.

  • Does deleting a party booking remove charges from the family ledger?
    • No. Deleting the party booking only removes the booking details from the party slot. It does not remove charges or make ledger adjustments.
  • What happens to the party slot after the booking is deleted?
    • The party slot becomes available for booking again.
  • What should staff do if the family needs to move the party to another date instead of canceling?
    • Transfer the party date instead of deleting the booking.
