How Do I Print Roll Sheets (CLA-4)?

The Roll Sheet report (CLA-4) allows administrators and instructors to print class roll sheets for taking written attendance. The report can be generated for any date range, includes indicators for previously recorded attendance, and offers several display options to help staff quickly access student and family information. Roll sheets can be generated either from the CLASSES page or the REPORTS page. 

Overview

The Roll Sheet report produces printed roll sheets used for written attendance tracking. Roll sheets can reflect existing attendance already recorded in the System and provide additional context through enrollment icons, student information, and flexible layout options. Users can print sheets for current or past dates, with options to filter by class, instructor, program, level, and other criteria.

Each enrollment listed on the roll sheet may display one or more Icons indicating enrollment status, attendance, and student/family alerts

Accessing the Report

Roll sheets can be generated from either the CLASSES page using the Reports Quick Tool, or from REPORTS>CLASSES.

Step-by-Step Instructions

Printing Roll Sheets from the CLASSES page

  1. Navigate to the CLASSES page.
  2. Select the class(es) for which you wish to produce roll sheets. You can use the filters on the left-hand side of the page to help limit your results.
  3. Click the Reports Quick Tool icon in the toolbar at the bottom of the window and choose "Class Roll Sheets."

Set your report parameters

General Filters
  • START DATE/END DATE: the date range for which you wish to see results. Defaults to the current date.
Display Options
  • SHOW
    • Schedule Checkboxes
    • Enrollment Dates
    • Roll Sheet Comments
    • Birthdate
    • Age
    • Gender
    • Medical
    • Zone
    • Inactive Instructors
      • Entries are not included if an instructor/staff member was not associated with enrollments/events during the designated date range.
      • If an instructor was deleted after the start date, their relevant entries still appear.
      • If an instructor was added after the end date, they are not included.
    • Primary Guardian
    • Phone Number
    • E-Mail Address
    • Account Balance – displays actual outstanding amount
    • Last Skill Level Passed
    • Attendance Since Last Level Passed
      • Includes attendance for all student enrollments.
    • Extra Rows for Max Number of Students
    • Three Additional Rows
    • Empty Classes
    • Display Students By First Name
Print Layout
  • Landscape
  • Hide Legend
  • Condensed Format
  • Inline Header
  • Repeat Class Info When Tables Wrap
  • Print Separate Class For Each Instructor
    • If enabled: a separate listing is generated for each instructor. Substitute instructor dates include an asterisk.
    • If disabled: only a single asterisk appears beside the date with a substitute.
  • Page Break After Each Instructor

    • For classes meeting multiple days, time slots are based on the earliest meeting day.

  • Choose HTML or PDF.
  • If generating PDF, download the file from background tasks.
  • XLS/CSV options are not available due to formatting limitations.

  1. Navigate to REPORTS>CLASSES>Roll Sheets (CLA-4).
  2. Click the magnifying glass icon to launch the report filters screen.

Generating historical reports

Roll sheets can be generated for past class dates by setting your date range accordingly.

These reports will include attendance indicators for students enrolled in the class during the specified dates.

However, if the class schedule has changed, the class listing reflects the current schedule, even when generating roll sheets for prior periods. Dates and attendance remain accurate for the historical period being generated.

Troubleshooting & FAQs

  • Why are some instructors missing from my roll sheet?
    • The System only displays instructors who were associated with enrollments or events during the selected date range. Deleted instructors still appear for dates before deletion, while instructors added afterward do not appear.
  • Why is the “Drop” icon not showing for some enrollments?
    • The “Drop” icon is intentionally not shown for single-day enrollment types, including MAKEUP, TRIAL, and SINGLE DAY enrollments.
  • Why is there an asterisk next to a date on the roll sheet?
    • An asterisk indicates the date had a substitute instructor. When “Print Separate Class For Each Instructor” is enabled, substitute instructors are also marked with an asterisk on their own listing.
  • Why is CSV/XLS not available for this report?
    • Special characters and table elements used in roll sheets do not export cleanly to spreadsheet formats, so these options are intentionally excluded.
