How Do I Use the Classes Quick Edit Tool?

The Classes Quick Edit tool allows administrators to update multiple class records at once without editing each class individually. It supports mass updates to general settings, dates, descriptions, instructors, assigned Skill Trees, Auto-Approval prerequisites, and billing schedules/tuition pairs.

The Quick Edit tool is designed to streamline updates that apply to many classes simultaneously. When working with high-volume class lists, Quick Edit reduces repetitive tasks, ensures consistency, and accelerates administrative workflows. Changes made through Quick Edit apply to all selected classes, so it is important to review settings carefully before saving.

Accessing the Feature

  1. Navigate to the Classes page.
  2. Use filters and search tools on the left side of the page to locate the relevant classes.
  3. Select the classes to update.
  4. Choose the Quick Edit icon at the bottom of the page (pencil icon with three lines).

Step-by-Step Instructions

Using the Quick Edit Tool

  1. Filter and locate classes using the controls on the left side of the screen.
  2. Adjust the page view if needed to display more classes.
  3. Select the classes to update.
  4. Select the Quick Edit icon.
  5. Navigate through the tabs within the Quick Edit window to apply updates.
  6. Select Save to apply changes.
    • Updates are processed by a background task.

Quick Edit Tabs and Their Options

General Tab

The General tab allows mass updates to settings usually found on the class Details and Billing tabs. Leave any field set to “-DO NOT CHANGE-” or blank to preserve each class’s existing value.

Options include:

    • Select from existing Programs.
  • Tax Exempt

      • If “No,” an additional option appears: Override tax rate set on program.
      • If enabled, select the Tax Rate to apply as the override.

      • Enabling Non-Billable Class adds an option to include or exclude enrollments from multi-class/multi-student discount counts:

          • Enabled: counted
          • Disabled: not counted
  • Default Billing/Tuition Pair
    • Billing Schedule
    • Tuition
  • Level
    • Select from available Levels.
  • Zone
    • Select from available Zones.
  • Requirements
    • Minimum Age (years/months/days)
    • Maximum Age (years/months/days)
    • Notes:
      • The system shows eligible birthday ranges based on your selections.
      • Age checks are based on the next class meeting date (or session/rolling session start date if assigned).
  • Maximum Number of Students
  • Gender Limitations
    • Co-Ed
    • Female
    • Male

Dates Tab

This tab applies only to classes set to This Class Bills Monthly. For Session or Rolling Session-based classes, you will need to edit the dates on the Session itself.

You can update:

  • Class Dates
  • Registration Dates
  • Priority Dates

To edit dates, select Use the dates below and enter the appropriate start and/or end dates.

Description Tab

This tab allows you to overwrite the existing class description with a new one.

  • The new description replaces all existing descriptions on selected classes.
  • Supports pictures, formatting, and hyperlinks.
  • In the Customer Portal, this content appears when users select More Details.

Instructors Tab

Options for mass updating instructors include:

  • Add selected staff members without removing current instructors.
  • Remove selected staff members without removing other instructors.
  • Remove all current instructors and replace with selected staff

Notes:

  • The Instructor list loads in batches of 100.
  • You may search for additional instructors.
  • Selected instructors move to the top of the list for visibility.

Skill Tree Tab

This tab allows you to assign a Skill Tree to all selected classes.

  • The assigned Skill Tree overrides any Skill Tree inherited from the Program.

Using Quick Edit to Update Billing Schedules/Tuitions

Changing a Billing Schedule

  • If selecting a new Billing Schedule:
    • You must select a Tuition to pair with it.
    • The system prevents saving until both are selected.
    • A warning explains the change will affect existing enrollments without overrides.
  • If selecting a Billing Schedule that already exists on the class without choosing a Tuition:
    • The schedule becomes the new default using the currently linked Tuition.
    • A warning explains you may choose from:
      • Continue
      • Cancel
      • Override Billing Schedule for current enrollments
        • Assigns overrides to all current enrollments using the original schedule.
  • If the class has only one Billing Schedule and you change it:
    • A similar warning appears, customized to the situation.
    • Options remain the same as above.

Changing a Tuition Amount

  • If selecting a Billing Schedule already attached, but choosing a different Tuition:
    • A warning appears stating existing enrollments will use the new Tuition unless they have overrides.
  • If not selecting any Billing Schedule but selecting a Tuition:
    • The System applies the new Tuition to the class’s default Billing Schedule.
    • A corresponding warning is shown.

Mixed Scenarios

If multiple conditions apply across selected classes (e.g., some classes already have the Billing Schedule, others do not), the System displays a comprehensive warning describing all actions.

Notes:

  • If a selected Billing Schedule does not exist on any selected class, you must select a Tuition before continuing.
  • The System prevents you from saving until all required selections are completed.

Troubleshooting & FAQs

  • Can I undo Quick Edit changes?
    • No. Once saved, changes apply immediately. Carefully review selections before saving.
  • Why are some fields unavailable?
    • Options such as Class Billing are only available for classes in Active status.
  • Why can I not save changes to Billing Schedules?
    • Missing required selections (such as pairing a Schedule with a Tuition) will prevent saving.
  • Why do I see warnings when updating Billing Schedules/Tuitions?
    • These warnings indicate how changes will affect existing enrollments and whether overrides will be required.
