Why make classes Inactive?
In a word: housekeeping.
When a new class is created, it is marked ACTIVE by default. If you run a lot of classes, or if you have been with iClassPro for several years, the list of classes displayed on the CLASSES page can get rather unwieldy and difficult to navigate, particularly if you use the Dynamic Clas Names feature or tend to have similar names for your classes.
Marking older classes as INACTIVE helps your staff by only displaying classes that are still ongoing, yet still giving the option to display older classes by filtering by INACTIVE or ALL status.
How do I change the status of a single class?
- Navigate to the CLASSES page.
- Click the pencil/edit icon to the left of the class name. From here, you can change the status of the class using the “Status” drop-down menu to the right of the “Class Name” field.
- If you are changing the status to INACTIVE, you will receive a warning that marking the Class Inactive will drop any current enrollments, and delete any future enrollments or waitlists:
- From here, you can set a Drop Date, select a Drop Reason, and enter any Drop Notes to be applied to any current enrollments.
- You can also enable the “Send Drop Email” option to notify families with existing enrollments in the class that their enrollment has been dropped. (If you choose this option, the system will automatically send the email using the “Class Drop Enrollment” email template located under SETTINGS>SETUP>GENERAL SETTINGS>COMMUNICATION TEMPLATES>ICLASSPRO.)
- After entering the required information, be sure to SAVE your changes to complete the status change.
NOTE: Any future makeup enrollments that are deleted will restore the associate makeup token to the student's record.
How do I change the status of multiple classes at once?
- Navigate to the CLASSES page.
- Use the filters on the left-hand side of the page to get a list of classes you wish to mark INACTIVE.
- If you wish to mark ALL of the classes on the list as INACTIVE, click the “SELECT ALL” option at the top of the screen.
- If you only wish to mark SOME of the classes as INACTIVE, manually select ONLY those classes.
- At the bottom of the screen, click the Quick Edit icon to launch the “Quick Edit Classes” screen:
- Changing the Status option from ACTIVE to INACTIVE will bring up some additional fields:
- A warning that marking the Class Inactive will drop any current enrollments, and delete any future enrollments or waitlists.
