What is the Special Enrollments Report?

The Special Enrollments Report is a list of special enrollments (Wait List/Trial/Makeups/Single Day) within a specified date range. The report includes the Enrollment Type, Used Token indicator (for Makeup enrollments), Class Name, Class Schedule, Student Name and Enrollment Date(s).

There are options to include other information.

NOTES: Chosen filters that relate to enrollments will produce results that are true based on the Start Date/End Date you select when generating the report.

If you commonly use the same filters when running this report, you can now save them as Presets! Simply load a Preset Filter whenever you open the report page, set your date range and click to generate the report in your preferred format. See our "Preset Filters for Reports" document for more information.

The Special Enrollments Report is available in either HTML, PDF, XLS or CSV format.

Available Filters

General Filters

  • START DATE/END DATE: the system will only look at special enrollments that fall within this specific date range. (If left blank, the system will default to the current date as the Start Date and leave the drop date NULL.)
  • LOCATIONS: selecting one or more Location(s) will limit the report to only special enrollments in Classes associated with the specified Location(s).
  • ENROLLMENT TYPE STATUS: selecting one or more Enrollment Type(s) will limit the results to only special enrollments associated with the specified Enrollment Type(s).
    • Wait
    • Trials
    • Makeup
    • Single Day (if enabled)
  • DAY OF WEEK: selecting one or more Day(s) of the Week will limit the report to only absences in Classes that meet on the specified Day(s).
  • CHOOSE PROGRAM: selecting one or more Program(s) will limit the results to only special enrollments for classes associated with the specified Program(s).
  • CHOOSE SESSION: selecting one or more Session(s) will limit the results to only special enrollments for classes associated with the specified Session(s).
    • NOTE: The "Choose Session" filter will only display current/future sessions by default. However, there is a "Show Past" toggle option to display past Sessions/Rolling Sessions if needed.
  • CHOOSE CLASS LEVEL: selecting one or more Class Level(s) will limit the results to only special enrollments for classes associated with the specified Class Level(s).
  • CHOOSE INSTRUCTOR: selecting one or more Instructor(s) will limit the results to only special enrollments for classes associated with the specified Instructor(s).
    • NOTE: Entries will not be included on the final report for any selected instructor/staff member who was not associated with specified enrollments, events, etc., during the designated date/date range.
      • If an instructor was deleted AFTER the start date of the report, the results will include relevant entries for the instructor on the date(s) before they were deleted.
      • If an instructor was created/attached to an event AFTER the end date of the report, the instructor will not be included in the results.
  • CHOOSE ROOM: selecting one or more Room(s) will limit the results to only special enrollments for classes associated with the specified Room(s).
  • CHOOSE CLASS KEYWORDS: selecting one or more Class Keyword(s) will limit the results to only special enrollments for classes associated with the specified Keyword(s).
  • CHOOSE FAMILY KEYWORDS: selecting one or more Family Keyword(s) will limit the results to only special enrollments students in families associated with the specified Keyword(s).
  • CHOOSE STUDENT KEYWORDS: selecting one or more Student Keyword(s) will limit the results to only special enrollments for students associated with the specified Keyword(s).
  • CHOOSE CLASS: selecting one or more Class(es) will limit the results to only special enrollments for the specified Class(es).

      • NOTE: If "Show Instructor" is enabled and a substitute Instructor was present on the day the enrollment occurred, an asterisk (*) will be displayed beside the Class name to indicate this.

    • E-Mail Address
    • Enrollment Notes
  • SORTING OPTIONS: determines how the results are sorted.
    • Request Date – sorts chronologically by the date the enrollment was requested (applies to WAIT enrollments only)
    • Start Date – sorts chronologically by enrollment start date
    • Instructor – sorts alphabetically by class instructor
    • Start Time – sorts chronologically by class schedule
