Why disable billing for a class?
Occasionally, you may wish to mark a class that is regularly billed as not billable for a period of time, such as a class that has been suspended for school holidays or summer break.
By disabling billing for the class, you maintain all enrollments in the class but prevent iClassPro from creating a tuition charge whenever the Class Tuition Charges task is run.
How do I disable billing for a single class?
- Navigate to the CLASSES page.
- Click the pencil/edit icon to the left of the class name to launch the Class Edit screen.
- Click on the “Billing” tab.
- Check the "Non-Billable Class" option.
- If this option is enabled, the other Billing options will be hidden and you will be presented with the option to “Allow enrollments in this class to be counted towards discounts.”
- If this option is left disabled, enrollments in the class WILL NOT be counted in the number of student enrollments when calculating multi-class/multi-student discounts.
- If this option is enabled, enrollments in the class WILL be counted in the number of student enrollments when calculating multi-class/multi-student discounts.
- Be sure to SAVE your settings to apply your changes.
How do I disable billing for multiple classes at once?
- Navigate to the CLASSES page.
- Use the filters on the left-hand side of the page to get a list of classes for which you wish to disable billing.
- If you wish to disable billing for ALL of the classes on the list, click the “SELECT ALL” option at the top of the screen.
- If you only wish to disable billing for SOME of the classes on the list, manually select ONLY those classes.
- At the bottom of the screen, click the Quick Edit icon to launch the “Quick Edit Classes” screen:
- Change the “Class Billing” option to “Non-Billable Class.”
- NOTE: You can only disable billing for ACTIVE classes. If the Class Status is set to INACTIVE, the “Class Billing” option will not be available.
- If the “Non-Billable Class” option is enabled, you will be presented with the additional option “Enrollments Count Towards Discounts.”
- If this option is left disabled, enrollments in the class WILL NOT be counted in the number of student enrollments when calculating multi-class/multi-student discounts.
- If this option is enabled, enrollments in the class WILL be counted in the number of student enrollments when calculating multi-class/multi-student discounts.
- Be sure to SAVE your settings to apply your changes.
How do I re-enable billing for a class?
To manually re-enable billing for a class, simply edit the class and uncheck the “Non-Billable Class” option.
To update this setting in bulk, select all classes for which you wish to update this value, launch the Quick Edit tool, then choose "Billable Class" for the "Class Billing" option. Once selected, click SAVE to re-enable billing for the selected classes.
How can I find classes that have the “Disable Billing” option enabled?
The CLASSES page has a filter option to “Show Non-Billable Classes Only.” Enabling this filter will limit results to only classes that have the “Non-Billable Class” option enabled.
