How Do I Disable Billing For A Class?

Disabling billing for a class allows you to temporarily prevent tuition charges from being generated while keeping all student enrollments intact. This is useful for situations such as seasonal breaks, holidays, or temporary class suspensions, without requiring you to unenroll students or adjust billing schedules. 

Overview

Occasionally, you may need to stop billing for a class that normally generates tuition charges. Rather than ending enrollments or changing billing schedules, you can mark the class as non-billable.

When billing is disabled for a class:

  • All existing enrollments remain active.
  • The System will not generate tuition charges for the class when the Class Tuition Charges task is run.
  • You can control whether enrollments in the class are counted toward multi-class or multi-student discounts.

This setting can be applied to a single class or updated in bulk for multiple classes at once.

Accessing the Feature

You can disable billing from the Classes page, either by editing an individual class or by using the Quick Edit tool for multiple classes.

  1. From the main navigation menu, go to CLASSES.
  2. Locate the class or classes you want to update.

Step-by-Step Instructions

Disabling billing for a single class

  1. Navigate to the CLASSES page.
  2. Click the pencil/edit icon to the left of the class name to launch the Class Edit screen.
  3. Click on the “Billing” tab.

  4. Check the "Non-Billable Class" option.
  5. If this option is enabled, the other Billing options will be hidden and you will be presented with the option to “Allow enrollments in this class to be counted towards discounts.”
    • If this option is left disabled, enrollments in the class WILL NOT be counted in the number of student enrollments when calculating multi-class/multi-student discounts.
    • If this option is enabled, enrollments in the class WILL be counted in the number of student enrollments when calculating multi-class/multi-student discounts.
  6. Be sure to SAVE your settings to apply your changes.

Disabling billing for multiple classes at once

  1. Navigate to the CLASSES page.
  2. Use the filters on the left-hand side of the page to get a list of classes for which you wish to disable billing.
    • If you wish to disable billing for ALL of the classes on the list, click the “SELECT ALL” option at the top of the screen.
    • If you only wish to disable billing for SOME of the classes on the list, manually select ONLY those classes.
  3. At the bottom of the screen, click the Quick Edit icon to launch the “Quick Edit Classes” screen:

  4. Change the “Class Billing” option to “Non-Billable Class.”
    • NOTE: You can only disable billing for ACTIVE classes. If the Class Status is set to INACTIVE, the “Class Billing” option will not be available.
  5. If the “Non-Billable Class” option is enabled, you will be presented with the additional option “Enrollments Count Towards Discounts.”
    • If this option is left disabled, enrollments in the class WILL NOT be counted in the number of student enrollments when calculating multi-class/multi-student discounts.
    • If this option is enabled, enrollments in the class WILL be counted in the number of student enrollments when calculating multi-class/multi-student discounts.
  6. Be sure to SAVE your settings to apply your changes.

Re-enabling billing for a class

To manually re-enable billing for a class, simply edit the class and uncheck the “Non-Billable Class” option.

To update this setting in bulk, select all classes for which you wish to update this value, launch the Quick Edit tool, then choose "Billable Class" for the "Class Billing" option. Once selected, click SAVE to re-enable billing for the selected classes.

Locating classes that have the “Disable Billing” option enabled

The CLASSES page has a filter option to “Show Non-Billable Classes Only.” Enabling this filter will limit results to only classes that have the “Non-Billable Class” option enabled.
