Marking a class as Inactive helps reduce visual clutter on the Classes page by hiding classes that are no longer in use. When a class is made Inactive, the System will automatically drop all current enrollments and delete any future enrollments or waitlist entries associated with the class.
Overview
When new classes are created, they are marked ACTIVE by default. Over time, these active classes can accumulate—especially for businesses that have been with iClassPro for several years or use Dynamic Class Names or similar naming conventions. As the list grows, it becomes more difficult for staff to navigate the Classes page efficiently.
Marking classes as INACTIVE simplifies the workspace by allowing only ongoing classes to be displayed by default. Staff can still review older classes at any time by applying filters for INACTIVE or ALL statuses.
Accessing the Feature
- Open the CLASSES page from the main navigation menu.
- Locate the class or classes whose status you want to change.
Step-by-Step Instructions
Changing the Status of a Single Class
- Navigate to the CLASSES page.
- Select the pencil/edit icon next to the class name.
- In the editing panel, update the Status drop-down menu to Inactive.
- If the class has active or future enrollments, the System will display a warning stating:
- Current enrollments will be dropped.
- Any future enrollments or waitlist entries will be deleted.
- When the warning dialog appears, configure the following options for the active enrollments being dropped:
- Drop Date
- Drop Reason
- Drop Notes
- Optional: Send Drop Email
- If enabled, the System sends the email automatically using the Class Drop Enrollment communication template located under Settings > Setup > General Settings > Communication Templates > iClassPro.
- Select Save to complete the status change.
Important Notes
- When future makeup enrollments are deleted, the associated makeup token is restored to the student's record.
Changing the Status of Multiple Classes at Once
- Navigate to the CLASSES page.
- Apply filters on the left-hand side of the screen to produce a list of classes you want to mark Inactive.
- Select the classes to be updated:
- To mark all listed classes, select Select All.
- To mark only specific classes, manually select only those items.
- At the bottom of the screen, select the Quick Edit icon to open the Quick Edit Classes dialog.
- In the Status field, change the selection from Active to Inactive.
- When Inactive is chosen, additional fields will appear:
- Warning message explaining that active enrollments will be dropped and future enrollments/waitlist entries will be deleted.
- Drop Date
- Drop Reason
- Drop Notes
- Optional: Send Drop Email (sent using the System’s Class Drop Enrollment email template).
- After configuring the options, select Save to complete the batch update.
Additional Notes
- Deleting future makeup enrollments will restore the associated makeup token to the student's record.
Troubleshooting & FAQs

Will making a class Inactive remove it permanently?
- No. The class remains in your database and can be viewed by applying filters for Inactive or All statuses on the Classes page.

Does marking a class Inactive affect historical data or past enrollments?
- No. Past enrollment records remain intact. Only current and future enrollments/waitlist entries are affected.

Can I reactivate a class after setting it to Inactive?
- Yes. Edit the class and change its Status back to Active.

Will families always receive drop notifications when I make a class Inactive?
- Only if you enable the Send Drop Email option during the status change.
