What is the Class List Report (CLA-1)?

The Class List Report (CLA-1) provides a detailed list of classes in your database, with flexible filters and display options to help you review schedules, enrollment counts, requirements, and pricing. This report is commonly used to analyze class availability, capacity, and setup over a specific date range.

Overview

The Class List Report displays a list of classes in your System and can include additional details based on selected filters and display options, such as schedules, Programs, requirements, enrollment counts, and tuition.

The report can include information such as:

  • Class schedule (day and time).
  • Associated Program.
  • Class requirements, including gender, age range, and maximum enrollments.
  • Enrollment counts within a specified date range, including:
    • ACTIVE enrollments.
    • Openings.
    • TRIAL enrollments.
    • MAKEUP enrollments.
  • Base tuition amount.

Important Notes

  • Any filters related to enrollments return results based on the Enrollments From Start Date/End Date selected when generating the report.
  • If you frequently run this report using the same filters, those filters can be saved as Presets. Presets can be loaded each time the report is opened; you only need to set the date range and generate the report. Refer to What are Preset Filters for Reports? for additional details.

  1. From the main navigation menu, go to REPORTS
  2. Navigate to the Classes section.
  3. Select Class List Report (CLA-1).

Step-by-Step Instructions

  1. Navigate to the Class List Report (CLA-1).
  2. Select the Enrollments From Start Date and End Date.
    • The System evaluates enrollments only within this date range.
  3. Apply filters as needed.

General Filters

  • Status:
    • Active – includes only classes with an Active status.
    • Inactive – includes only classes with an Inactive status.
  • Locations:
    • Limits results to classes associated with selected Location(s).
  • Day of Week:
    • Limits results to classes that meet on selected day(s).
  • Choose Program:
    • Limits results to classes associated with selected Program(s).
    • Leaving this filter blank includes all Programs that meet other criteria.
  • Choose Session:
    • Limits results to classes associated with selected Session(s).
    • Leaving this filter blank includes all Sessions that meet other criteria.
    • By default, only current and future Sessions are shown.
    • A Show Past toggle can be enabled to include past Sessions and Rolling Sessions.
  • Choose Level:
    • Limits results to classes associated with selected Class Level(s).
    • Leaving this filter blank includes all Levels that meet other criteria.
  • Choose Instructor:
    • Limits results to classes associated with selected Instructor(s).
    • Leaving this filter blank includes all Instructors that meet other criteria.
  • Choose Room:
    • Limits results to classes associated with selected Room(s).
  • Choose Class:
    • Limits results to selected Class(es).
    • Leaving this filter blank includes all classes that meet other criteria.

Instructor-Specific Notes

  • Selected instructors are only included if they were associated with relevant enrollments, events, or records during the selected date range.
  • If an instructor was deleted after the report start date, results include entries prior to deletion.
  • If an instructor was added after the report end date, that instructor is not included in the results.

Display Options

  • Sort:
    • By default, classes are sorted alphabetically by class name.
    • Sort by Class Times sorts results chronologically by class start time instead.
  • Show:
    • Openings Only – limits results to classes with available openings.
    • Schedules – displays class schedules.
    • Programs – displays associated Programs.
    • Instructors – displays permanently assigned instructors only.
    • Gender – displays gender requirements.
    • Class Dates – displays class date ranges, if applicable.
    • Registration Dates – displays registration date ranges, if applicable.
    • Priority Registration Dates – displays priority registration date ranges, if applicable.
    • Age Range – displays age requirements.
    • Max Students – displays maximum allowed enrollments.
    • Current Students – displays the total number of ACTIVE enrollments within the selected date range.
    • Openings – displays available openings within the selected date range.
    • Trials – displays TRIAL enrollments within the selected date range.
    • Makeups – displays MAKEUP enrollments within the selected date range.
    • Single Day – displays SINGLE DAY enrollments, if enabled.
    • Tuition – displays default tuition amounts.
    • Rooms – displays assigned Rooms, if applicable.
    • Level – displays assigned Class Levels, if applicable.

Print Layout

  • Landscape:
    • Generates the report in landscape orientation.
    • This option may be enforced automatically depending on the number of selected display options.

  1. Confirm your filters.
  2. Select your preferred format (HTML, PDF, XLS, or CSV) to generate the report.

Report Format Notes

  • Selecting too many display columns may cause the PDF version to compress or cut off data.
  • If many columns are required, generate the report as XLS or CSV and adjust formatting in an external program such as Excel.
  • The HTML format may be useful for on-screen review only.

Troubleshooting & FAQs

  • Why do enrollment-related numbers seem incorrect?
    • Confirm the correct Enrollments From Start Date/End Date is selected. Enrollment counts are calculated only within that date range.
  • Why are some instructors missing from the report?
    • nstructors are only included if they were associated with relevant records during the selected date range. Instructors added after the end date or deleted before the start date may not appear.
  • Why is my PDF difficult to read or missing columns?
    • Too many display options can cause the PDF to compress data. Generate the report as XLS or CSV instead.
