IN BRIEF
The Leads widgets are a set of dashboard widgets that surface CRM lead data directly on your Office Portal dashboard, so you can monitor pipeline health, engagement activity, and new lead volume at a glance. Six Leads widgets are available, and each one links to a filtered view of the Leads page when clicked. This article describes each widget, along with its available settings and the permissions required to use it.
Overview
The Leads widgets are one type of dashboard widget available in the Office Portal, alongside widget types such as KPI, Lists, Bar/Line Chart, and Status. They give you a real-time view of your lead pipeline without leaving your dashboard, and each widget is interactive: clicking into it routes you to the Leads page with the appropriate filter already applied.
The Leads widgets appear only when Growth Engine is enabled on the account. All six widgets are off by default, and each staff member enables the ones they want individually. Every staff member's selections and layout are saved to their own profile, so your choices affect only your dashboard.
The six available Leads widgets are:
- Speed to Lead — the average time to first contact with a lead.
- Stale Leads — the number of leads with no recent contact.
- New Leads This Month — the count of leads created in the current month, filterable by source.
- Last Engagement — how your leads are distributed across engagement health.
- Leads per Stage — how many leads sit in each pipeline stage.
- New Leads by Source — lead volume by source over the most recent six months.
Several widgets measure engagement using contact activity, which means a manually created Phone Call, SMS, or Email activity record only. AutoPilot-generated activities, appointments, notes, task completions, system-generated emails, and automated marketing communications do not count as contact activity in any widget calculation.
NOTE: Leads widgets are only available for the Dashboard tab. They cannot be swapped out on the Welcome page.
Accessing the Feature
- From the main landing page, select the Dashboard tab.
- Review existing Leads widgets.
- Select a widget to view details or navigate to related reports.
- Edit the screen to add, remove, or swap out Leads widgets as needed.
- From the Dashboard, Leads widgets can be added, removed, or rearranged on the page.
Note: Due to layout limitations, Leads widgets are not available from the Welcome page.
Step-by-Step Instructions
Speed to Lead
The Speed to Lead widget displays the average time between when a lead is created and the first contact activity logged for that lead, shown in a human-readable format of hours and minutes. Leads with no qualifying contact activity are excluded from the average.
The widget also displays a month-over-month trend indicator comparing the current average to the previous month, and a color-coded status badge that reflects how quickly your team is responding. When no contact activity exists yet, the widget shows an empty state instead of an average, trend, or badge. Clicking the arrow link opens the Leads page sorted by time to first contact, with leads that have no contact activity listed at the bottom.
Settings
- This widget has no configurable settings beyond enabling, disabling, and repositioning it in the dashboard layout editor.
- The status badge thresholds are fixed and are not configurable: green when the average is under 2 hours, amber from 2 hours up to and including 8 hours, and red when the average exceeds 8 hours.
Permissions
- The Leads module Add-on must be enabled on the account.
- You must have permission to edit your dashboard layout to add or manage this widget.
Stale Leads
The Stale Leads widget displays the total number of leads that have had no contact activity logged in 14 or more days. A lead that has never had any contact activity is counted as stale once its creation date is 14 or more days in the past. The widget also displays a week-over-week trend indicator comparing the current count to the count from 7 days ago.
Both the count and the trend display in red to signal urgency. Clicking the arrow link opens the Leads page filtered to the same set of stale leads.
Settings
- This widget has no configurable settings beyond enabling, disabling, and repositioning it in the dashboard layout editor.
- The 14-day threshold that defines a stale lead is fixed and is not configurable.
Permissions
- The Leads module Add-on must be enabled on the account.
- You must have permission to edit your dashboard layout to add or manage this widget.
New Leads This Month
The New Leads This Month widget displays the total number of leads created from the first day of the current calendar month through today. By default it counts leads from all active sources.
The widget includes a multi-select source filter, with one chip for each active lead source configured on the account. Selecting one or more chips narrows the count to those sources and displays the selected source name or the number of selected sources below the count. A Clear link deselects all chips and restores the full count. If there are more chips than fit in the widget, they wrap to additional rows, and a Show More control reveals the rest. Clicking the arrow link opens the Leads page filtered to leads created this month, with any selected sources applied.
Settings
- This widget has no saved configuration settings beyond enabling, disabling, and repositioning it in the dashboard layout editor.
- Source filter chips are interactive display filters applied while you view the widget. Chips populate automatically from your active lead sources, and newly added sources appear without any change to the widget configuration.
- The date range is fixed to the current calendar month and cannot be customized.
Permissions
- The Leads module Add-on must be enabled on the account.
- You must have permission to edit your dashboard layout to add or manage this widget.
Last Engagement
The Last Engagement widget displays a donut chart that groups your leads into three engagement health buckets, using the same definitions as the existing Lead Health filter on the Leads page:
- Fresh — displayed in green.
- Current — displayed in blue.
- Stale — displayed in red.
Every lead falls into exactly one health bucket, and the total lead count appears in the center of the donut. A legend beside the chart lists each bucket in the order Fresh, Current, Stale, with the count and percentage for each. Clicking a legend row or a donut segment opens the Leads page filtered to that health bucket.
Settings
- This widget has no configurable settings beyond enabling, disabling, and repositioning it in the dashboard layout editor.
- Health bucket thresholds are inherited from the existing Lead Health filter and are not configured within the widget.
Permissions
- The Leads module Add-on must be enabled on the account.
- You must have permission to edit your dashboard layout to add or manage this widget.
Leads per Stage
The Leads per Stage widget displays a horizontal bar chart with one bar for each active pipeline stage configured on the account. Each bar shows the number of leads currently assigned to that stage. If no active pipeline stages are configured, the widget shows an empty state instead of a chart. Clicking a bar opens the Leads page filtered to the leads in that stage.
Settings
- This widget has no configurable settings beyond enabling, disabling, and repositioning it in the dashboard layout editor.
- Bars populate automatically from your active pipeline stages, and newly added stages appear without any change to the widget configuration.
Permissions
- The Leads module Add-on must be enabled on the account.
- You must have permission to edit your dashboard layout to add or manage this widget.
New Leads by Source
The New Leads by Source widget displays lead volume by source over the most recent six months. By default it shows a heatmap with one row per active lead source and one column per month, including the current partial month. Cell color intensity reflects lead volume relative to all other cells in the widget, and each cell shows the lead count and a month-over-month change indicator. Inactive or deleted sources appear only when they have lead activity within the six-month window and are visually marked as inactive.
A Table toggle switches the widget to a table view that lists sources sorted by current-month volume, showing each source's name, current-month count, percentage change from the prior month, and a proportional volume bar. A Heatmap toggle switches back. Clicking a heatmap cell or a table row opens the Leads page filtered to that source and time period. If no lead sources are configured and no inactive sources have recent activity, the widget shows an empty state.
Settings
- This widget has no saved configuration settings beyond enabling, disabling, and repositioning it in the dashboard layout editor.
- The Heatmap and Table toggles are interactive display options applied while you view the widget.
- Rows populate automatically from your lead sources, and newly added sources appear without any change to the widget configuration.
- The six-month display window is fixed and cannot be customized.
Permissions
- The Leads module Add-on must be enabled on the account.
- You must have permission to edit your dashboard layout to add or manage this widget.
Troubleshooting & FAQs
-
Why don't I see the Leads widgets in my dashboard layout editor?
- The Leads Widgets section appears only when the Leads module Add-on is enabled on your account and you have permission to edit your dashboard layout. If either is missing, the widgets will not be available.
-
Why is a widget showing an empty state instead of data?
- Some widgets display an empty state when there is no qualifying data yet. For example, Leads per Stage shows one when no active pipeline stages are configured, New Leads by Source shows one when no lead sources exist, and Speed to Lead shows one when no leads have a manually logged Phone Call, SMS, or Email activity record.
-
Why does a lead appear stale when it has received automated messages?
- The Stale Leads and Speed to Lead widgets count only manually created Phone Call, SMS, or Email activity as contact. AutoPilot-generated activities, system-generated emails, and automated marketing communications do not reset the calculation.
-
Can I change the thresholds or date ranges a widget uses?
- No. The Speed to Lead badge thresholds, the Stale Leads 14-day threshold, the New Leads This Month current-month range, and the New Leads by Source six-month window are all fixed and cannot be configured.
-
If I turn a widget on or move it, will it change my coworkers' dashboards?
- No. Each staff member's widget selections and layout are saved to their own profile, so your changes affect only your dashboard.
