How Do I Create and Manage Lead Widgets?

The Lead Widget Feature lets you add lead capture forms to your Customer Portal and to your own website, so prospective families can reach you without creating an account first. There are two kinds of widget: a Customer Portal widget that is generated automatically for each Location, and Custom widgets that you build and embed on your own site. This article covers creating, configuring, embedding, and managing both. Overview

The Lead Widget section contains two tabs, Customer Portal and Custom. The two widget types behave differently, so decide which one you need before you begin.

Customer Portal widgets

The Customer Portal tab is pre-populated with one widget profile for each of your Locations. These widgets:

  • appear on your Customer Portal itself,
  • are always floating, so they cannot be embedded inside the Customer Portal,
  • can be enabled or disabled, but cannot be deleted, and
  • can be customized by selecting the Location name.

You can also select the Embed Code icon to the left of a Location name to place the Customer Portal widget on your own website. Used this way, the widget serves its default configuration and does not report separate statistics for that placement. If you want a widget on your own site that tracks its own loads, starts, and submissions, create a Custom widget instead.

Note(s): The Customer Portal supports only one embedded widget at a time per Location.

Custom widgets

The Custom tab is where you build self-contained widgets for your own website or landing pages. From this tab you can create new widgets, associate each widget with a Location so its leads are attributed correctly, and generate the embed code for placement on external sites. Custom widgets offer five templates, a floating or inline display mode, and full control over colors, icons, messages, and positioning.

Note(s): Duplicating a configured Customer Portal widget creates a Custom widget with the same settings, which is the quickest way to move a portal widget onto your own site with its own statistics.

Accessing the Feature

  1. From the main navigation menu, select SETTINGS.
  2. Select CUSTOMER PORTAL.
  3. Select LEAD WIDGET.

Important Note(s): The Lead Widget section is only visible if Growth Engine is added on to your account. If you do not see it and believe you should, contact your account representative.

Step-by-Step Instructions

Configuring a Customer Portal widget

  1. Navigate to SETTINGS > CUSTOMER PORTAL > LEAD WIDGET, then select the Customer Portal tab.
  2. Select a Location name to open its widget for editing.
  3. Adjust the available options, such as the icon, position, and messages.
  4. To match the widget colors to your Location branding, the system will automatically select the Secondary color from your Customer Portal settings.
  5. Set the widget status to enabled when you are ready for it to appear on your Customer Portal.

Creating and configuring a Custom widget

  1. Navigate to SETTINGS > CUSTOMER PORTAL > LEAD WIDGET, then select the Custom tab.
  2. Select the option to create a new widget.
  3. Give the widget a unique Name.
  4. Choose the Location to associate with leads created by this widget.
  5. Select the widget Type and a template design:
    • Floating chat bubble, using the Simple, Modern, or Minimal template.
    • Inline form, using the Simple, Modern, Minimal, Horizontal, or Split template. Horizontal places fields in a row and works well for banners; Split uses a two-column layout with a branding area.
  6. Select Continue.
  7. Customize the widget options:
    • Style, including Type, Template, Position, Form Icon, and the Primary, Secondary, and App colors.
    • Content, including the welcome message (floating mode only), heading and subheading text, optional fields for referral sources and interests, button text, the Legal Message, and the consent checkbox, which is enabled by default.
    • Submission, including the confirmation title, message, and icon.
  8. Select Save to store the configuration.
  9. Select Get Embed Code to display and copy the generated embed code.

Note(s): At any point during configuration, switch between the mobile, tablet, and desktop previews by selecting the matching icon in the preview panel.

Tracking Referral Sources and Interests

Each Lead Widget can ask two optional questions. Both are off by default, and both are set per widget — turning a question on for one widget does not turn it on anywhere else.

To set them up, open the widget’s Edit Widget screen and expand Content. Two checkboxes sit between Subheading and Button Text:

    •  Enable “How did you hear about us?”

    •  Enable “What are you interested in?”

How did you hear about us?

When this is on, the live Lead Form shows a required dropdown directly below Phone Number. It lists your business’s active Referral Sources, set up under SETTINGS>SETUP>FAMILY SETTINGS>REFERRAL SOURCES. Visitors choose one. Inactive Referral Sources are not offered, and iClassPro’s System Generated Sources never appear.

Every widget with this question enabled shows the same list. Edits you make in Family Settings appear on all of them.

If marketing tracking already identifies where the visitor came from, the dropdown does not appear at all. The visitor is not asked, no notice is shown, and the source is recorded behind the scenes.

NOTE: You cannot save a widget with this question enabled unless your account has at least one active Referral Source of its own. The save is rejected with a message asking you to add one first.

What are you interested in?

When this is on, the live Lead Form shows a required dropdown where visitors can pick more than one option. It appears directly after “How did you hear about us?”, or directly after Phone Number if that question is not shown.

Which options you can offer depends on your account:

  • Classes, Events and Other are always available.
  • Appointments and Parties are available only if your account has those add-ons. 
  • Parties follows the widget’s Location.

The first time you check Enable “What are you interested in?”, every option your account can offer is selected for you. Uncheck any you do not want on that widget.

Events covers camps. The option is labeled Events on the Edit Widget screen, on the live form, on the Lead Profile, and in the LEADS page filter. Visitors are not asked to pick a specific camp.

If your subscription changes and you lose an add-on, that option stops appearing on the live form straight away, and drops off the widget the next time you save it. If the only options you had selected were ones you no longer have, the question stops appearing on the form altogether.

Where the answers go

When a visitor submits the form, the Lead that gets created records:

  • the Referral Source they picked, or the source that marketing tracking identified, as Lead Source on Lead Profile > Preferences
  • the options they picked as Interests on Lead Profile > Preferences

Important Notes

  • Staff see these values exactly as they see values typed in by hand, and can change them. 
  • Leads created before these questions existed are not updated. There is no backfill.
  • These questions are not available in the Mobile/Branded App.

Adding a Custom widget to your website

Floating mode

  • Paste the <script> embed code into your website's HTML, typically in the <head> or the site template.
  • For iClassPro Integrated Websites, add the code at More(...) > Settings > Head HTML, then paste. Tracking scripts are added in this same location.

Inline mode

  • Paste the provided <div> container into the area of your page where the form should appear.
  • The container must have an id that begins with lcw-, which ensures the widget renders correctly and avoids conflicts with site builders that wrap scripts automatically.
  • For iClassPro Integrated Websites, add the container to any page at Widgets(+) > HTML, then paste.

Viewing captured lead data

  • When a widget is enabled, it captures lead information whenever the form is submitted.
  • To view submissions, select the number in the Submissions field to open a table of the captured data.

Additional behavior and notes

  • You can place multiple widgets on the same page, including one floating widget together with one inline widget, several inline widgets, or widgets tied to different Locations.
  • Smart pre-fill populates the form automatically. When the widget is embedded in the Customer Portal, it fills fields from the guardian's data if they are logged in. For a visitor who is not logged in, or on an external site, contact information is saved locally and reused on return visits.
  • The default form fields are fixed as first name, last name, email, phone, and message, and cannot be changed.

Troubleshooting & FAQs

  • Why do I not see the Lead Widget section under Settings > Customer Portal?
    • The section is only available when the Lead Widget Feature is enabled on your account. Contact your account representative if you believe it should be active.
  • Can I delete a Customer Portal widget?
    • No. Customer Portal widgets can only be enabled or disabled. You can delete Custom widgets that you create.
  • Can I customize the form fields?
    • You can enable or disable optional fields for collecting referral sources and interests. However, the default fields are fixed as first name, last name, email, phone, and message and cannot be changed or disabled.
  • My widget colors do not match my Location branding. How do I fix this?
    • On the Customer Portal tab, select Sync Colors to synchronize the Primary, Secondary, and App colors from your Customer Portal settings for each Location.
  • How do I view the leads a widget has captured?
    • From the Lead Widget view, select the number in the Submissions field to open a table of the captured data.
