Which Filters are Available from the LEADS Page?

The LEADS page includes a set of filters and controls that help you narrow which leads display, target specific groups for communication, and organize your follow-up. Use these filters when reviewing your pipeline, sending Email Blasts or SMS/Text messages, or quickly locating leads that meet specific conditions.

Overview

The filtering tools on the LEADS page let you refine which leads appear based on criteria such as stage, source, assigned staff, and lead health. Filtering your pipeline makes it easier to:

  • Focus on leads at a specific stage of your pipeline
  • Target specific groups for communication or follow-up
  • Review leads assigned to a particular staff member or user group
  • Quickly locate leads that match defined conditions

These filters can be combined to create highly specific result sets, and they apply in both List View and Kanban/Visual Board View.

Step-by-Step Instructions

Using Basic Page Controls

The controls across the top of the LEADS page help you choose what you are looking at and act on individual leads:

  • Use the Location Toggle (located next to the Leads title in the upper-left corner) to choose which location's leads display. By default, it shows leads from all locations you have permission to access.
  • Select Search Leads to type and quickly find a specific lead.
  • Select New Lead to launch the "New Lead" form and add a lead manually.
  • Select the Gear Icon to open Settings > Setup > Leads Settings.

Attribute-Based Filters

Apply one or more of the following filters to narrow which leads display. Filters can be combined to create a precise result set:

  • Stage – filter by one or more lead stages.
  • Source – filter by how the lead found you.
  • Interested In - filter by interests selected by the lead.
  • Staff – filter by the assigned staff member.
  • User Groups – filter by assigned user group.
  • Health – filter by lead health.
  • Active/Archived – show active or archived leads.
  • Created – filter by a date range.

Health Filter Options

The Health filter groups leads by how recently they have had activity, which helps you prioritize follow-up. The available options are:

  • New
  • Open
  • Stale

Date-Based Filtering

Use the Created filter to limit results to leads created within a specific date range:

  • Set a Start Date to define the earliest creation date to include.
  • Set an End Date to define the latest creation date to include.

This helps you review recently added leads or focus on a particular intake period.

Filtering on the Kanban/Visual Board

When you switch to Kanban/Visual Board View, an additional filter controls which leads appear on the board:

  • By default, the board displays only currently active leads.
  • Use the See All Closed And Archived filter on the right-hand side to include closed and archived leads.

Additional Details

Filters apply across both views

Your applied filters carry across List View and Kanban/Visual Board View, so you can switch views without losing your result set. List View is best for scanning details and sorting columns, while Kanban/Visual Board View is best for seeing where filtered leads sit in your pipeline.

Why the Kanban board hides some leads by default

The Kanban/Visual Board View is designed to show your active pipeline first, so closed and archived leads are hidden until you apply the See All Closed And Archived filter. This keeps the board focused on the leads you are actively working.

Turning filtered results into action

After you filter your list, select one or more leads using their checkboxes (or Select All) to display the Quick Tools options. From there, you can:

  • Choose Move To Stage to move all selected leads to a chosen stage.
  • Choose Email to send an Email Blast to the selected leads.
  • Choose SMS/Text Message to send a text message to the selected leads.

Filtering first lets you target exactly the group you want before you communicate or update stages.

Interested In

Limits results to Leads whose Interests include at least one of the options you select. The options are Classes, Events (i.e., Camps), Appointments, Parties and Other.

Selecting more than one option broadens your results rather than narrowing them. A Lead that matches any one of your selections is included.

All five options are always listed, no matter what your subscription currently includes. This is deliberate: if your account previously had Parties or Appointments, Leads captured at that time keep those Interests and remain searchable.

The filter behaves the same way in both List view and in Kanban view, and the same selection returns the same Leads in either.

The Events filter option refers to "Camps."

Troubleshooting & FAQs

  • Why don't I see leads from all of my locations?
    • The Location Toggle defaults to showing leads from every location you have permission to access. If a location is missing, ask your system administrator to review your staff permissions for that location.
  • Where did my closed or archived leads go on the Kanban board?
    • By default, the board shows only active leads. Use the See All Closed And Archived filter on the right-hand side to include closed and archived leads.
  • What does the Health filter mean?
    • The Health filter groups leads by how recently they have had activity — Fresh, Current, or Stale — so you can prioritize the leads that need attention.
  • How do I filter leads by when they were created?
    • Use the Created filter and set a Start Date and an End Date to limit results to leads created within that range.
  • How can I quickly find one specific lead instead of filtering?
    • Use Search Leads at the top of the page and type the lead's name to locate them directly.
