Levels identify the skill aptitude associated with classes and camps. They are used throughout the System for reporting, color-coding on the Calendar, and optionally to allow level-based transfer requests via the Customer Portal. Administrators can create, edit, and order Levels under SETTINGS>SETUP>GENERAL SETTINGS>LEVELS.
Overview
Levels are assigned to classes and/or camps to designate a specific skill aptitude expected of students enrolled in those events. Levels appear on the Level Summary Report and can also be used as optional filters on several other reports.
Within the Customer Portal, Levels can optionally control whether families are allowed to submit transfer requests from one class to the “next” level based on Level ordering.
Accessing the Feature
- In the Office Portal, go to the User Menu.
- Select SETTINGS>SETUP>GENERAL SETTINGS.
- Expand the General Settings area.
- Select Levels.
Step-by-Step Instructions
Creating or Editing Levels
When configuring Levels, administrators can assign the following attributes:

Name (required)
- Used when selecting a Level in Class Details or Camp Details.
- Appears on the Level Summary Report.

Color
- Sets the color used to identify classes or camps assigned to the Level in the Calendar view.
- Can be chosen from a color picker or entered manually using a Hex value.

Image
- Displays in the Customer Portal to visually identify classes associated with the Level.
- Recommended ratio: 2:1 (twice as wide as tall).
- Acceptable example sizes:
- 400 × 200 pixels
- 600 × 300 pixels
- 1600 × 800 pixels
Important Notes:
- Level images are only used for classes in the Customer Portal. Camps use the Camp Type image instead.
- Larger images take longer to download; smaller images are recommended for best performance.
Understanding Level Ordering
After a Level has been created, it can be ordered to indicate progression from lowest to highest. Administrators can adjust ordering using the Actions column to move Levels up or down within the list.
Example ordering:
- Beginner → Order 1
- Intermediate → Order 2
- Advanced → Order 3
If Allow Transfer into the Next Level is enabled under Settings > Customer Portal > Other Settings > Class Registration, the System uses this ranking to determine the “next” Level for transfer requests based on a student’s current class.
NOTE: There is currently no direct correlation between Levels and Skill Tree Levels.

Why is my Level image not showing for camps?
- Level images display only for classes in the Customer Portal. Camps use the Camp Type image.

Why is the Level order not affecting transfer requests?
- Confirm that “Allow Transfer into the Next Level” is enabled under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>CLASS REGISTRATION.

Can Levels be linked to Skill Trees?
- Levels and Skill Tree Levels are not directly connected. Staff will need to manually assign corresponding Skill Tree Level to the appropriate class(es).
