Sending Email Blasts from the CLASSES page
Choosing to send Email Blasts from the CLASSES page gives you additional controls that enable you to specify specific enrollment types and date ranges to determine who will receive the email. The Class Email Blast window has additional filter options which will allow you to send to current enrollments, past enrollments, future enrollments, wait list enrollments… the combination is up to you!
After selecting the class(es) to email, click the Email Blast icon in the toolbar at the bottom of the screen. Upon launch, the Email Blast window will present a message if no subscribed family records are selected:
Next, fill in the following options to define the recipients and compose your Email Blast:
- Start Date/End Date – Specifies date range of the enrollments to be considered for receiving the Email Blast.

Enrollments to Search For In Date Range
- Enrollments Active During – the system only looks at enrollments that were active at some point during the selected date range (regardless of the enrollment start or end date).
- Enrollments Starting In – the system only looks at enrollments that started during the selected date range (regardless of the enrollment end date).
- Enrollment Dropping In - the system only looks at enrollments that dropped during the selected date range (regardless of the enrollment start date).

Enrollment Types to Send To
- Select All – sends to all enrollments meeting the criteria specified above, regardless of enrollment type.
- Active – sends to only ACTIVE type enrollments meeting the criteria specified above.
- Make up – sends to only MAKEUP type enrollments meeting the criteria specified above.
- Single Day (if enabled) – sends to only SINGLE DAY type enrollments meeting the criteria specified above.
- Trial – sends to only TRIAL type enrollments meeting the criteria specified above.
- Wait – sends to only WAIT type enrollments meeting the criteria specified above.

Send to Requests
- Exclude Requests – excludes any unapproved/pending enrollment requests from the list of email recipients.
- Include Requests – includes any unapproved/pending enrollment requests from the list of email recipients.
- Requests Only – sends email only to unapproved/pending enrollment requests.

Send Emails By
- One per enrollment – sends one email per enrollment, so students/families with multiple enrollments meeting the filter criteria will receive more than one copy of the email.
- One per student – sends one email per student, so families with multiple enrollments meeting the filter criteria will receive more than one copy of the email.
- One per family – sends only one email per family, so families with multiple enrollments meeting the filter criteria will receive only one copy of the email.

Send Emails To
- Families Only – sends emails only to families with students meeting the filter criteria in the selected classes.
- Instructors Only – sends emails only to instructors assigned to the selected classes.
- Both Families and Instructors – sends emails to both families and instructors.
- Send a copy to all email addresses in the staff or enrollments family records – sends a copy of the email to every email address associated with a staff member or family that is opted in to receive Email Blasts.
- Send a copy to me – sends a copy of the email to the address listed in the “Reply-To Address” field.
- Reply-To Address – the email address that will be used as the recipient if parents send a reply to the Email Blast. This field is automatically populated with the Location email address for your account, but can be edited as needed.
- (Optional) Select a predefined Email Template to use. (Selecting a template will automatically fill in the Subject and Email Body.)
- Enter a Subject for the email.
- Add your message (text) in the Email Body.
- Using the “Variables” menu option in the Email Blast composition window allows you to select an email variable from there and insert it into the Email Blast.
When entered, it will display a “friendly” name reflecting the kind of information that will be inserted rather than the variable itself. The variables displayed are contextual based on which page you are on when composing the Email Blast. (That is, only variables available from the STUDENTS page will show for Email Blasts composed there, only variables available from the FAMILIES page will show there, etc.)
Variables that are manually typed will automatically reformat to the “friendly” name when you press the space bar after entering the variable.
NOTE: Any invalid variables will be replaced with an empty text string. You can use the Variables menu to select the correct entry if needed.
Using the "Variables" menu will also allow you to insert data from Custom Fields as email variables. These can be selected from the “[Page] Custom Fields” submenu of the "Variables" menu.
- Using the “Variables” menu option in the Email Blast composition window allows you to select an email variable from there and insert it into the Email Blast.
- (Optional) Add images to spruce up your message! (For more information on using images in emails, see our article "Inserting Images into iClassPro Emails.")
- Click Send.
Sending Email Blasts from the Class Enrollments View
iClassPro also offers an option to email students of all enrollment types directly from the CLASSES page. Which students are displayed is determined by the “Enrollment Date” + your "Enrollment Lookahead" window.
Clicking the "actions" icon to the left next to the student will give you the option to "Email Family."
Selecting this option launches an Email Blast window with that student’s family preselected.
Additional Notes
- This option only allows you to send to one student at a time.
- Email Blasts still honor opt-in/opt-out settings.
