If your system is configured to allow it, families can use the Customer Portal/Mobile App to record when a student will miss an upcoming class. These absences can be submitted either by date (applies to all classes during that time) or by enrollment (applies only to specific classes).
Overview
The Future Absence feature allows families to notify the gym or school in advance when a student will miss class. This helps staff manage class rosters and make spots available for makeup enrollments.
Important Note: The option to submit a future absence is only available if the setting Allow future absence requests is enabled under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>GENERAL SETTINGS.
Accessing the Feature
- Log in to the Customer Portal/Mobile App.
- From the navigation toolbar, select My Account.
- NOTE: In the Mobile App, this icon is just called Account.
- Under the student’s profile, select the Future Absences icon.
- NOTE: In the Mobile App, families will need to select the student first, then select Future Absences.
Step-by-Step Instructions
Creating a Future Absence by Date
- After selecting Future Absences, a wizard will open asking: How do you want to create a future absence?
- Select By Date.
- Indicate whether the absence will:
- Span multiple days
- Apply to only one day
Multiple days
- Enter or select the start and end dates for the absence.

(optional) Uncheck All Day to set specific hours for the absence.
- If All Day is checked, the absence applies to all enrollments for that date(s).
- If specific hours are set, only classes during those hours are affected.
- Select Submit to finalize the absence request.
Single day
- Enter or select the date for the absence.

- If All Day is checked, the absence applies to all enrollments for that date.
- If specific hours are set, only classes during those hours are affected.
- Select Submit to finalize the absence request.
Creating a Future Absence by Enrollment
- After selecting Future Absences, the wizard will open.
- Select By Enrollment.
- Complete the following:
- Choose the date of the future absence.
- Select one or more classes the student will miss.
- (optional) Enter a comment explaining the reason for the absence.
- Select Submit Absences to finalize the request.
Troubleshooting & FAQs

I cannot see the “Future Absences” option in the Customer Portal. Why?
- The feature is only available if administrators have enabled Allow future absence requests under SETTINGS>CUSTOMER PORTAL>OTHER SETTINGS>GENERAL SETTINGS.

Can I create an absence for just one class on a day?
- Yes. Use the By Enrollment option to select only the class(es) affected.
- What happens if I choose “All Day”?
- The absence will apply to all of the student’s enrollments scheduled for that date.

Can I include a reason for the absence?
- Yes. When creating an absence by enrollment, there is an optional comment field where you can add details.
