What are Single Day Enrollments?

Single Day enrollments allow customers to register students for a one-time class without committing to ongoing tuition. These enrollments share the same start and end date and include a fee. The feature must be enabled in SETTINGS>SETUP>CLASS SETTINGS>GENERAL CLASS SETTINGS before use.

Overview

Single Day enrollments allow one-off, same-day participation in a class. This option is ideal for facilities that offer casual or drop-in attendance without requiring a full session or monthly commitment.

Key characteristics:

  • Single Day enrollments share identical start and end dates.
  • Unlike TRIAL or MAKEUP enrollments, a fee applies.
  • The fee may be based on the class’s billing setup:
    • A single timeslot/hourly rate, or
    • A prorated portion of a flat monthly/session rate.

Important Note:

If classes use flat-rate billing, proration must be enabled for correct charge calculation. If proration is not allowed, the full monthly or session rate will apply.

When creating charges, ensure the Charge Category corresponds to the correct month to prevent duplicate billing during the Class Tuition Charges task.

Accessing the Feature

  1. Go to SETTINGS>SETUP>CLASS SETTINGS>GENERAL CLASS SETTINGS.
  2. Enable the option “Enable Single Day Enrollments in Office Portal.”
  3. Choose a Single Day Enrollment Label. If no label is selected, it defaults to Casual.

Available Label Options:

  • Casual
  • Drop-In
  • On Demand
  • Single Day

Important Note:

The Single Day enrollment type is always used for Punch Pass enrollments. These will display as Single Day, even if this setting is disabled.

Step-by-Step Instructions

Creating a Single Day Enrollment

  1. Confirm the feature is enabled in SETTINGS>SETUP>CLASS SETTINGS>GENERAL CLASS SETTINGS.
  2. From the Office Portal, create a new enrollment.
  3. Set both the Start Date and Drop Date to the same day.
  4. Select Single Day (or your chosen label, such as Drop-In or Casual) from the Enrollment Type dropdown.
  5. Complete other necessary details such as Class, Billing Schedule, and Tuition Override, if applicable.
  6. Select Save, Save & Add Another, or Save & Charge as needed.

Additional Details:

  • Only Staff members in the Office Portal can create Single Day enrollments.
  • These enrollments do not count toward ACTIVE enrollment totals.
  • However, they do affect class openings on the enrollment date to preserve instructor-to-student ratios.

The label displayed for Single Day enrollments will match the option chosen under SETTINGS>SETUP>CLASS SETTINGS>GENERAL CLASS SETTINGS.

Troubleshooting & FAQs

  • Why is my Single Day enrollment charging a full month’s tuition?
    • Proration must be enabled for the class. If proration is disabled, the full monthly or session rate applies.
  • Can families create Single Day enrollments from the Customer Portal?
    • No. Single Day enrollments can only be created by Staff in the Office Portal.
  • Why are Single Day enrollments showing as ACTIVE after being transferred?
    • This is expected behavior if Single Day enrollments are later disabled. The System updates the Enrollment Type to ACTIVE and sets the drop date equal to the start date.
  • How does the Group Transfer process handle Single Day enrollments?
    • The System converts them to ACTIVE enrollments with matching start and drop dates. Existing ACTIVE enrollments will maintain their original drop logic (no drop date, inherited from session/class dates, etc.).
  • Do Single Day enrollments appear in reports?
    • Yes. The following reports can include them:
      • Class List Report
      • Program Summary Report
      • Level Summary Report
      • Special Enrollments Report
    • If you use Punch Passes, be sure to enable the Single Day enrollment type option to include those enrollments in the report results.
