The How You Heard Summary Report (MAR-1) provides a high-level summary of how families report hearing about your business when creating their account. This report helps administrators understand which referral sources are most effective by displaying the total number of families associated with each option.
Overview
The How You Heard Summary Report displays a summary list of referral sources selected by families during account creation, along with the total number of families for each source.
Referral sources can be customized in the Family Settings. For more information, see What are the Family Settings Options?
Important considerations when running this report:
- Filters related to enrollments affect results based on the start and end dates selected when generating the report.
- The report reflects family-level data, not individual student counts.
- This report is commonly used for marketing analysis, outreach planning, and evaluating referral effectiveness.

Using Preset Filters
If you regularly generate this report using the same filter settings, you can save those settings as Preset Filters.
- Load a Preset Filter when opening the report.
- Set your date range.
- Generate the report in your preferred format.

Accessing the Report
- From the main navigation menu, go to Reports.
- Navigate to the Marketing section.
- Locate and select How You Heard Summary Report (MAR-1).
Step-by-Step Instructions
- Navigate to the How You Heard Summary Report (MAR-1).
- Configure the desired filters based on your reporting needs.
- Select a date range or “As Of Date,” as applicable.
- Choose your preferred output format to generate the report.
General Filters

Advanced Active/Inactive Search or As Of Date
- If disabled, the System uses the specified As Of Date (defaults to the current date) to determine active families.
- When using an As Of Date, select one enrollment status:

Currently Enrolled (Active)
- Includes families with an ACTIVE enrollment in classes or camps on the As Of Date, regardless of past or future enrollments.

Enrolled in the Future (Only)
- Includes families without an ACTIVE enrollment on the As Of Date but with an ACTIVE enrollment after that date.

Previously Enrolled (Only)
- Includes families without an ACTIVE enrollment on the As Of Date but with an ACTIVE enrollment prior to that date.

Never Enrolled
- Includes families with no recorded ACTIVE enrollments in classes or camps.

Active Date Search
- Families must have had an active enrollment within the specified date range.

Inactive Date Search
- Families must have been inactive within the specified date range.
- Leaving both options enabled requires that both conditions are met.

Note: This filter appears only if one or more Status (Enrollment) filters are disabled.

Include Class Enrollments
- Includes families with ACTIVE class enrollments during the specified date range or As Of Date.

Include Camp Enrollments
- Includes families with ACTIVE camp enrollments during the specified date range or As Of Date.
- Camp enrollments are considered ACTIVE from the first selected block through the last selected block, including any days in between.
If both enrollment types are enabled, the System includes families with either a class enrollment or a camp enrollment.
Date and Account Filters

Family Created From / Family Created To
- Limits results to families whose accounts were created within the specified date range.
- If your account data was imported, the created date reflects the import date for those families. To report on new families only, adjust the date range to begin the day after the import.
Location and Program Filters

Locations
- Limits results to families with enrollments associated with selected locations.

Choose Program
- Limits results to families with active enrollments in classes or camps assigned to selected programs.
Keyword Filters

Choose Family Keywords
- Includes families associated with all selected family keywords.

Choose Student Keywords
- Includes families associated with all selected student keywords.

Choose Program Keywords
- Includes families with enrollments associated with all selected program keywords.

Choose Class Keywords
- Includes families with class enrollments associated with all selected class keywords.

Choose Camp Keywords
- Includes families with camp enrollments associated with all selected camp keywords.

Choose Appointment Keywords
- Includes families with sppointment bookings associated with all selected camp keywords.
Leaving any keyword filter blank includes all families meeting the other criteria.
Generate the report
- Confirm your filters.
- Select your preferred format (HTML, PDF, XLS, or CSV) to generate the report.
Troubleshooting & FAQs

Why do my enrollment-based results change when I adjust the date range?
- Enrollment-related filters evaluate ACTIVE enrollment status based on the selected date range or As Of Date, which can affect which families are included.

Why do imported families appear with the same created date?
- Imported family records use the import date as the created date. Adjust the Family Created From date to exclude imported data if needed.

Why does the Enrollment Type filter not appear?
- This filter only appears when one or more Status (Enrollment) filters are disabled.
