What is the Class Retention Summary Report (CLA-18)?

The Class Retention Summary Report (CLA-18) provides a view of student participation over time by showing which months students were actively enrolled in classes within a selected date range. This report helps identify retention trends, monitor student engagement, and evaluate program consistency. 

Overview

The Class Retention Summary Report displays a list of students who have been active in classes during a specified date range. For each student, the report includes:

  • Student name
  • Class location
  • Monthly indicators showing when the student was active
  • Total number of months the student was active

This report is useful for identifying retention patterns and understanding how long students remain enrolled in programs or classes.

Key Report Details

  • Results are based on enrollments within the selected Start Date and End Date
  • Filters such as Program, Location, Instructor, and Class refine which enrollments are included
  • Monthly indicators provide a quick visual reference for activity trends

Important Note: Selected filters that relate to enrollments will produce results that are true based on the Start Date/End Date selected when generating the report.

Step-by-Step Instructions

General Filters

Apply General Filters as needed:

  • Enter a Start Date and End Date.
    • Defines the timeframe for included enrollments
    • Only enrollments within this range will appear
  • Choose Program
    • Limits results to students enrolled in selected programs
    • Leaving blank includes all programs
    • Choose Instructors
      • Limits results to classes taught by selected instructors
      • Leaving blank includes all instructors
    • Location
      • Limits results to selected locations
      • At least one location must be selected to generate the report

Apply Class Filters as needed:

  • Status
    • Active – includes classes currently set to “Active”
    • Inactive – includes classes currently set to “Inactive”
  • Choose Class
    • Limits results to specific classes within the selected date range

  2. Select your preferred format (HTML, PDF, XLS, or CSV) to generate the report.

Instructor Filter Behavior

  • Instructors not associated with enrollments during the selected date range will not appear
  • If an instructor was deleted after the start date, earlier data will still appear
  • If an instructor was added after the end date, they will not appear in results Each row represents a student

Understanding the Results

  • Monthly indicators show when the student was actively enrolled.
    • NOTE: “Actively enrolled” means the student had an ongoing, ACTIVE-type enrollment in a class. 
  • The total reflects the number of months the student maintained enrollment .

Troubleshooting & FAQs

  • Why are no results appearing on my report?
    • Ensure at least one Location is selected and that your Start Date and End Date include valid enrollment activity.
  • Why is a specific instructor not showing in the results?
    • The instructor may not have been associated with enrollments during the selected date range, or they may have been added after the end date.
  • Why do my filters not seem to match expected results?
    • Enrollment-related filters are evaluated based on the selected date range. Adjust the Start Date and End Date to confirm expected data.
  • Can I include both active and inactive classes?
    • Yes, select both Active and Inactive under the Status filter.
